The Role

We are seeking a detail-oriented and proactive Administration Assistant to join our Sydney Club Services team. This role will play a key part in providing high-quality administrative support to Legatees, Beneficiaries, and Community Service Workers across the Sydney Club Divisions and Lachlan Legacy Club.

Reporting to the Executive Assistant to the President of Sydney Legacy Club, you will support key administrative processes, maintain accurate records, and ensure seamless coordination of Legacy's essential services. This is a full-time role based in our Sydney Central Office, with the option to work from home one day per week.

Key Responsibilities

  • Provide general administrative support to internal teams and Legatees.
  • Manage account reimbursement requests.
  • Organise and arrange flowers, cards, and birthday certificates.
  • Generate reports for the Sydney Metro Division and coordinate mail outs.
  • Assist with the organisation of events and attend when required
  • Manage and monitor email inboxes, calls, and weekly communication reports.
  • Support enrolments and pension processes where required.
  • Order Legacy ID cards, business cards, and name badges.
  • Enter and maintain data in the data management system with accuracy.
  • Action relevant Return to Sender mail
  • Manage the distribution and monitoring of Cabcharge usage.

You'll Need

  • Previous experience as an Administrator is preferred and ideally in a Non-profit organisation. Alternatively, you may come from a customer facing, customer service background
  • Confident and articulate with strong communication skills, both written and verbal
  • Polished and professional in appearance
  • A passion for assisting people from varied demographics, with a high level of interpersonal skills and a proven ability to engage and build rapport
  • Strong organisational skills, with the ability to manage multiple tasks.
  • Advanced MS Office skills including Word, Excel & Outlook
  • Willing to undergo a National Police History Check and Working with Children Check

Highly regarded:

  • Previous experience working with confidential records and information
  • Previous experience with records management (CRM) systems
  • Previous experience working with volunteers
  • Previous experience with various communication platforms such as Teams, Zoom
  • Previous experience working with Adobe PDF Reader
