Admin / PA Assistant – Full Time (6am–2pm)

Location: Reservoir

Baillie Industries is growing fast—bigger projects, more equipment, and a strong reputation across Melbourne's industrial sector. With everything expanding, we're looking for a switched-on Admin / Business Support/ PA Assistant who loves variety, stays organised, and wants to be right in the middle of how a busy, successful business runs day to day.

If you enjoy being the go-to person who keeps things moving, keeps people organised, and keeps the office running smoothly, this role is for you.

About the Role

You'll work closely with the Director and our project teams, supporting everything from job setup through to project administration. No two days are the same—one minute you're organising job folders, the next you're helping coordinate project paperwork or preparing documents for a major installation.

This is a role where you can take ownership, bring ideas, and actually make the business run better.

Your Key Responsibilities
  • Preparing documents, quotes, job folders and project files
  • Supporting job tracking and data entry in Tradify
  • General office admin and inbox organisation
  • Maintaining document control, job sheets, ITPs, JSEAs and project paperwork
  • Updating registers for staff training, tickets and inductions
  • Data entry for monthly contracts
  • Assisting the Director with ad hoc and personal admin tasks
Who We're Looking For
  • Super organised with strong attention to detail
  • Confident with computers, Microsoft Office and general admin software
  • Intermediate level proficiency in Microsoft Office is required
  • Clear communicator with a friendly, helpful attitude
  • Someone who can juggle tasks, stay calm and stay ahead
  • Experience in admin or PA work (construction/engineering admin is a bonus)
  • Minimum of 3+ years of admin or PA experience is required
  • A tidy, structured, efficiency-focused person—someone who likes things done properly
  • Australian work authorisation is required for this position
