About the Company
Our client is a successful full-service Commercial Property firm offering services in real estate, valuations, auctions, and property management. They are now seeking a proactive and reliable Team Administrator to join their dynamic team and play a pivotal role in ensuring the smooth operation of their agency.
About the role
Based in our client's modern CBD office, this full-time role offers the chance to work alongside a supportive team of Directors, Sales and Leasing Agents, and other property professionals. You'll play an important part in the day-to-day success of the team, so a proactive approach and strong communication skills are essential. Responding to queries in a timely and professional manner will be a key part of your role.
The role will see you assisting the team across numerous functions making the role interesting and varied. Duties will include, but are not limited to:
- Producing timely and accurate agency statistics and reports
- Coordinate and attending daily team meetings, keeping accurate minutes and prioritise action items
- Keep up to date with current market, ensuring competitive pricing and best practice
- Drafting documents and utilising appropriate templates for letters and submissions
- Monitor and manage advertising budgets and orders, enter data and prepare invoices and quotes through MYOB
- Manage and deliver all agency advertising needs including producing brochures, photography, mail outs and invoicing
- Collaborate with marketing and team leaders to update website listings, create submissions, campaigns, and promotional materials
- Coordinate external marketing contractors, agents and campaign schedules, and see through from start to finish
- Maintain filing systems, reconcile purchase invoices and manage recoverable charges
- Diary management and coordination of meetings, travel, accommodation and functions
- Assist with property searches and ensuring signage is maintained and removed as appropriate
- Liaise with service providers and portals including VaultRE, REA, CRE
About you
- Proven experience in administration or similar role
- Great attitude – happy to step in and help out where needed
- Strong proficiency in Microsoft Office Suite and ideally MYOB and Canva
- Excellent written and verbal communication skills
- Tech-savvy with the ability to quickly learn new systems and software
- High attention to detail and ability to manage multiple priorities
- Ability to work collaboratively and independently in a fast-paced environment
