Primary objective

Provide high-quality logistical and administrative support to the Office of Asian Relations to facilitate effective international engagement

activities. Contribute to the planning, coordination, and execution of events, delegations, and projects that advance the Northern Territory

Government's strategic interests in the Asian region.

Context statement

The team leads the Northern Territory Government's international engagement, working with foreign governments, the private sector,

community organisations and other Government agencies to market and advance the Northern Territory's interests overseas and ensure

that the Northern Territory's international engagement efforts are coordinated effectively.

Key duties and responsibilities

1. Provide logistical and administrative support for the Office of Asian Relations, ensuring smooth execution of international engagement

activities

2. Assist in planning and coordinating outbound delegations, including scheduling meetings, arranging travel, and preparing itineraries.

3. Support the preparation of meeting materials, briefing notes, reports, and correspondence for senior staff.

4. Maintain accurate records and databases related to international engagements and projects including registering official gifts or

hospitality.

5. Assist in coordinating events, workshops, and meetings with local and international stakeholders.

6. Provide administrative assistance for ministerial visits and international delegations, including venue bookings, transport

arrangements, and other logistical needs.

7. Facilitate communication and liaison between the Office of Asian Relations and internal and external stakeholders.

8. Support the Senior Director and team in managing priorities, administration, tracking deadlines, and maintaining workflows

including financial and procurement support.

Selection criteria

Essential

1. Demonstrated experience in providing administrative and logistical support, including event coordination, document preparations,

records management and organising travel arrangements.

2. Strong written and verbal communication skills, with the ability to prepare clear and concise documents and correspondence.

3. Proven organisational skills, with the ability to prioritise tasks, manage time effectively, meet deadlines and maintain quality records

for the business unit.

4. Strong interpersonal skills and the ability to interact effectively with a diverse range of stakeholders, including people with diverse

cultures, backgrounds and perspectives.

5. Proficiency in Microsoft Office and other relevant software, with the ability to maintain accurate records.

6. Demonstrated flexibility and ability to collaborate and innovate to achieve team objectives, whilst navigating policy and procedure.

Desirable

1. International business experience and/or foreign language skills.
