
Project & Office Administrator

Concept Windows is a leading WA supplier of premium aluminium windows and doors. We're looking for a Project & Office Administrator to support our Project Team's and keep our Canning Vale office humming. If you're organised, people-focused, and love ticking things off properly, this one's for you.
What you'll doProject & Completion Administration
- Be a critical support to PMs & Production for day-to-day project admin.
- Own document control and version management.
- Prepare and release project key packs.
- Create SWMS, safety documents, and site work safe plans.
- Prepare letters of certification and handover packs.
- Assist with site measure sheets and provide proactive customer communication.
- Manage Procore/Aconex; produce labels for frame fabrication.
- Order warehouse/project consumables; oversee new tool orders and update the tooling register.
- Handle incoming project-related office calls; assist with snagging.
- Attend weekly Project/Production meetings.
Project Accounts Administration
- Data entry of invoices and transfers from credit card to MYOB.
- File POs, invoices, and delivery dockets.
- General accounts admin alongside the Finance Manager.
Office Administration
- Manage all incoming project calls and mail; greet visitors and clients.
- Maintain office supplies stock and coordinate office maintenance.
- Oversee first-aid kits.
- Coordinate vehicle servicing and keep the service register current.
- Strong organisation, attention to detail, and follow-through.
- Clear, confident communication with customers, suppliers, and internal teams.
- Competent with Microsoft Office; experience with Procore, Aconex, and MYOB is a plus.
- Prior construction/glazing industry experience is preferred but not essential.
- A team mindset and the ability to juggle multiple priorities.
- Varied role spanning office, projects, and project accounts, no two days the same.

Hours: Full-time, 38 hrs/week (Mon–Fri)
