Position: Student Services and Academic Administrative Coordinator (HE)

Classification: Full-Time Position
Responsible to: Dean and Registrar

Location: Level 1, 37-39 George Street, Parramatta NSW 2150

Remuneration: $70, ,000 p.a. (exclusive of Super)

Position Overview

This is a pivotal, student-facing role at the Lead Institute of Higher Education (LIHE), designed to ensure both exceptional support services for students and robust coordination of institutional processes. The position combines responsibility for the student experience with coordination of activities — such as Academic Board and Governing Council — including meeting logistics, agenda preparation, document collation, and minutes.

Initially, the role will assist with institutional setup, providing broad support to both the Registrar and Dean. Over time, it will evolve into a focused position that leads student services and facilitates institutional governance functions.

As the institution grows and the Registrar function matures, the role will evolve to focus primarily on student services — acting as the primary contact point for all student enquiries, welfare support, and engagement initiatives.

The coordinator will play a critical role in fostering a positive, supportive, and responsive environment for our students, helping them successfully navigate their academic journey at LIHE.

Key Responsibilities

Phase 1: Establishment and Support

· Provide administrative support to the Dean, including diary management, meeting coordination, and preparation of documentation.

· Assist the Registrar with student records management, enrolment support, and compliance documentation.

· Support the updating and maintenance of student records within the Provider Registration and International Student Management System (PRISMS)

· Serve as the first point of contact for student enquiries (email, phone, walk-ins).

· Coordinate student orientation and onboarding processes.

· Maintain accurate records and support preparation for compliance audits.

· Liaise with internal and external stakeholders as required.

Phase 2. Student Services Leadership

· Act as the primary student contact for welfare support, enrolment queries, academic progress concerns, and general inquiries.

· Provide timely, accurate information to students about policies, procedures, and support services.

· Manage and maintain student records in alignment with compliance and data integrity standards.

· Support the Registrar in reporting and audits by ensuring accurate, well-maintained student documentation.

· Plan and deliver student engagement initiatives, including workshops and extracurricular activities.

· Coordinate student feedback processes and respond to student concerns proactively.

· Work closely with academic staff to ensure seamless student support across the lifecycle.

· Maintain confidentiality and sensitivity when handling student matters.

Qualifications and Experience

Essential:

· Experience in a higher education environment.

· Minimum of 3 years in a student services, academic administration, or similar role.

· Experience in supporting senior management or executive leaders.

· Strong organisational skills with the ability to manage multiple priorities.

· Excellent interpersonal and communication skills, both verbal and written.

· Proficiency in Microsoft Office and student management systems.

Desirable:

· Understanding of compliance frameworks relevant to higher education providers.

· Event coordination experience.
