Fletcher Clarendon is a boutique firm based in the Melbourne CBD servicing an elite and niche client network on Commercial, M&A, Restructures, Tax Controversies, Property and Estate Matters.

About the Role

We are looking for a proactive and highly organised Personal Assistant to provide dedicated support to a Director and ad hoc support to the broaderteam of Fletcher Clarendon. This role is parental leave cover, hence is a maximum term contract.

This role blends administrative duties with key paralegal support tasks, ideal for someone who thrives on being organised and also enjoys undertaking some legal work as part of their daily activities.

This role is a hybrid of secretarial and paralegal tasks, it is not essential to have experience as a paralegal, so please apply if you fulfil the below skills and experience

Please note: This position is not suitable for law students

Key Responsibilities

Tasks and responsibilities, include but are not limited to:

  • Provide administrative and operational support.
  • Efficiently manage and coordinate the diaries of key personnel.
  • Handle communication with stakeholders and clients.
  • Manage monthly billing processes for the firm.
  • Follow up on outstanding debts.
  • Drafting of legal documents and correspondence as required.
  • Prepare and process company incorporations and attend to the filing documents with the Australian Securities and Investments Commission (ASIC).
  • Attend to the drafting and stamping of trust deeds through the State Revenue Office (SRO).
  • Answer and manage incoming phone calls.

Skills and Qualifications

To be considered for this role, you should have:

  • 3 to 4 years' experience in a similar role.
  • LEAP experience preferred.
  • Proficient Microsoft 365 experience.
  • Basic IT skills essential.
  • Paralegal skills are desired, however not essential.
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Competence in diary management and general correspondence.
  • Proficiency in drafting and managing basic legal documents.
  • Ability to handle billing and follow-up on debtors.
