How you'll spend your time
Executive Support & Strategic Coordination
- Manage the CEO's calendar, inbox, meetings and travel with discretion and proactivity
- Prepare decks, briefs, agendas and materials for board, investor and partner engagement
- Track priorities, relationships and action items across internal and external projects
People & Hiring
- Coordinate recruitment activities, interviews and candidate communication
- Manage onboarding and offboarding logistics to ensure fast, smooth ramp-up
Office Operations & Team Enablement
- Keep the office well-organised, well-stocked and running efficiently
- Plan and support internal team events, workshops and celebrations
- Support culture initiatives including pulse surveys and internal updates
Events & External Engagement
- Plan and coordinate visits from investors, partners and external stakeholders
- Manage logistics for conferences, public-facing events and materials
Systems, Tools & Knowledge Management
- Maintain internal systems, trackers and shared resources (Notion, SharePoint etc.)
- Continuously improve workflows, processes and operating rhythm to help the team move faster
About You
- Experience in an Executive Assistant, Office Manager, or similar operational support role. Preferably experience in rapid environments such as start-ups, venture-backed companies or similar high-velocity settings
- Exceptionally organised with strong attention to detail and follow-through
- Clear, concise communicator with strong written and verbal skills
- Calm, positive and solutions-focused — especially under pressure and ambiguity
- Highly trustworthy and comfortable handling sensitive information and relationships
- Confident navigating Microsoft Office + modern SaaS tools (HubSpot, Notion etc.) and quick to pick up new systems
- Disciplined operator who is focused on getting things done, not just talking about
