About the Role

We're seeking an experienced Executive Assistant to the CEO to provide high-level administrative and organisational support.

This is a pivotal role that ensures the CEO can focus on strategic priorities by managing schedules, communication, travel, and stakeholder engagement with precision and professionalism.

You'll be the CEO's right hand — trusted to anticipate needs, protect their time, and help drive operational efficiency across the leadership team.

Key Responsibilities

  • Manage and prioritise the CEO's calendar, meetings, and travel arrangements.
  • Coordinate communication and correspondence on behalf of the CEO.
  • Prepare agendas, meeting notes, and ensure follow-up actions are completed.
  • Draft and edit correspondence, reports, and presentations.
  • Maintain organised records and administrative systems.
  • Support the coordination of company events, meetings, and leadership activities.
  • Act as the first point of contact for internal and external stakeholders.
  • Uphold confidentiality, professionalism, and discretion at all times.
  • Identify and implement opportunities to streamline administrative processes and support the CEO's strategic focus.

About You

You're a proactive Executive Assistant who thrives in a fast-paced environment. You can manage competing priorities with ease and maintain a calm, professional approach under pressure.

Your communication skills are exceptional, and you take pride in being the trusted gatekeeper and organiser who keeps everything running smoothly behind the scenes.

Skills and Experience

Essential:

  • Minimum 5 years' experience as an Executive Assistant or Personal Assistant
  • Exceptional organisational, time-management, and multitasking skills.
  • High attention to detail and accuracy.
  • Advanced skills in Microsoft Office and/or Google Workspace.
  • Proven ability to handle confidential information with discretion.

Desirable:

  • Experience in operations, logistics, or service-based industries.
  • Understanding of biosecurity or fumigation environments (advantageous).
  • Certificate or Diploma in Business Administration (preferred).

Why Join Fintran?

  • Work directly with a dynamic, growth-focused CEO.
  • Be part of an Australian success story delivering world-class biosecurity services.
  • Supportive, collaborative, and safety-driven team culture.
  • Genuine opportunity to shape the role and make a lasting impact.
