
Executive Assistant to Founder/ceo

This is not your usual "EA" position.
Based in South Yarra VIC, this role primarily supports the Founder in the role of CEO.
As a Founder-led business, we are looking for someone highly organized, enjoys operating in fast-paced environments, and is comfortable with change.
You will be responsible for some traditional EA duties and broader generalist People & Culture tasks to support the business as it scales. You will not do this alone. With the support of a P&C coordinator (direct report), you will lead recruitment activities and be the gatekeeper for all new hires ensuring cultural alignment.
In addition to this, you will own the company rituals for a geographically dispersed team, including global Town Halls, leadership meetings, and engagement events.
Ultimately, you will contribute to the efficiency of our business by providing reliable and timely support to the Founder/CEO.

- Exceptional organisational skills that reflect an ability to perform and prioritise multiple tasks and meet deadlines
- Strong writing and editing skills with high-level proficiency in Microsoft Word, PowerPoint, Excel, Outlook
- Excellent research and problem-solving skills to resolve issues and troubleshoot a variety of situations
- High-level initiative, diplomacy, and confidentiality skills
**Skills and experience**:
- Prior experience supporting C-level/Founder/MD support
- Excellent and confident verbal and written communication skills
- High level of integrity, confidence, and professionalism when communicating with stakeholders
- The ability to communicate and build relationships with stakeholders on all levels
- Friendly and professional manner
- Maturity of judgment, professionalism, and discretion
- Familiarity with G-suite is highly advantageous
- Be comfortable with change and transformation
This role is varied with no week the same, to support the CEO/Founder across the business.
**Accountabilities for this role include**:
- Managing the Founders/CEO changing diary, including scheduling, negotiating appointments and meetings, and organising associated and supporting documents
- Coordinating effective meetings by organising and collating meeting agendas, providing confidential minute taking and distribution, and coordinating follow-up actions
- Goal setting framework/planning - assist with facilitation and lead process improvement of our OKR goal setting framework.
- Monitor progress of OKRs, reporting to the CEO on key updates, areas of concern, and other pertinent items
- Maintain company asset register
- Office and facilities management and coordination
- Be a Champion of Company Values across the business and work with the leadership team to create an environment of positive reinforcement of the Values.
- Sourcing + recruitment of roles deemed of critical importance.
- Implement and maintain effective administrative systems and processes and make recommendations to improve efficiency and deliver services
- Work with the Founder/CEO to complete research projects, industry analysis, and other projects.
- Draft and edit internal and external correspondence and communications
- Generate all employment contracts, HR correspondence
- Be our culture champion and organize and facilitate foundr internal team events and culture-building activities in Melbourne and across our international teams
- Coordinate on & off-site workshops
- Arrange travel and accommodation
