Summary

Are you ready to take on a pivotal role in a fast-growing organisation that is making a real difference in the community care sector? Xanadu Group is seeking a highly skilled and proactive Executive Assistant to our Group CEO. This is not your typical EA role – you will be the right hand to the Group CEO, managing complex schedules, coordinating across multiple brands, leadership teams, and ensuring seamless operations at the executive level.

As a key member of our leadership support team, you will handle high-level administrative tasks, interact with executives across our diverse portfolio and deal with challenges relevant to a community sector organisation.

Key Responsibilities

Executive Support:

  • Manage the CEO's calendar, appointments, and priorities
  • Coordinate travel arrangements
  • Prepare reports, research projects, presentations, and analyse documents/contracts
  • Handle confidential information with discretion

Financial & Reporting:

  • Engage with Accounting firms, Insurance brokers, ASIC, ATO and other related regulators
  • Assist with expense management and reconciliation

Communication & Coordination:

  • Engage with internal leadership teams to deliver results
  • Engage and represent the CEO with external stakeholders
  • Manage incoming and outgoing correspondence (emails, calls)
  • Attend meetings, take accurate minutes, and follow up on action items

Research & Projects:

  • Conduct research and compile information as required
  • Assist with special projects and organisational events

Compliance & Systems:

  • Adhere to Xanadu Group processes and procedures, ensuring accurate use of systems

Essential Experience and Qualifications

  • A bachelor's degree in business, HR, or a related field
  • Minimum 2 years' experience as an Executive Assistant
  • Demonstrated ability to maintain professionalism and confidentiality
  • Strong computer literacy, with proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, AI tools
  • Ability to work independently, show initiative, and collaborate effectively within a team
  • Excellent interpersonal and communication skills with a professional and approachable manner
  • Exceptional time management skills and flexibility to adapt to changing priorities

Registrations and Licences

  • National Police Clearance
  • Current Driver's Licence
  • Current Working with Children Check
  • Current NDIS Worker Check
