AP+ is intended to create a more efficient and agile payments group, building the competitiveness of Australian domestic payments infrastructure, and delivering significant benefits to Australian consumers and businesses.
**Role Purpose**:
The Workplace Experience Manager - Office & Facilities exist to ensure that the experience that employees and visitors have in our office is positive and engaging. This includes supporting significant meetings and events and client interactions and ensuring the daily office operations run smoothly and efficiently.
**Key Responsibilities**:
- Developing and delivering the desired office experience.
- Overseeing general office operation, including:
- Purchasing office supplies and equipment.
- Maintaining inventories and ensuring the supply of office consumables including stationery and kitchen supplies
- Ensuring office equipment is in working order and contacting vendors to carry out repairs when required.
- Working with the Office receptionist to ensure replenishment of kitchen, bathroom, stationery, and supplies and maintaining the cleanliness of common areas
- Managing office inductions for all employees.
- Liaising with facility management vendors (including cleaning, catering, and security).
- Liaising with Building Management (AMP Capital) on base building facilities matters
- Working with supplier on any office refits and refreshes
- Ensuring our physical workplace is safe for all employees and visitors
- Ensuring effective WHS practices are supported and promoted in the office environment
- Negotiating with office vendors and service providers.
- Working with Finance to ensure vendor's accounts are paid on time.
- Providing any relevant reports, to management and the Board.
- Co-plan and deliver on-site activities like parties, celebrations, and events.
- Manage onsite catering requirements for meetings and events
- Support and backfill Receptionist when required
**Key Opportunities**:
- Develop the overall workplace experience for our Office environment
- Manage office refit & refresh projects
- Working with the Workplace Experience team to integrate the digital experience whilst in the office
- Create effective supply partnerships for office consumables
**Position Requirements**:
- Administrative, WHS, RSA, and Food handling are desirable.
- Experience in Office and Facilities Management
- Experience in supplier management
- Exposure to workplace technologies
- Decision-making - be able to identify problems and can find solutions.
- Process Management - manage operations effectively, with an analytical mindset. Looking for ways to improve the efficiency of business processes.
- Attention to detail - organizing large suppliers, negotiating deals with suppliers, to taking care of maintenance issues in the office.
- Flexibility - remain flexible and learn to handle multiple variables.
- Leadership - Leadership is an important office manager skill as you carry the organization and add value to the company.
- Communication - be able to cut through the noise and get to the heart of the issue and communicate effectively with employees from diverse backgrounds and management levels.
- Tech-Savvy - up to date with the latest office equipment, apps, and technology used in the office.
- Prioritisation - be able to prioritise while handling everyone’s issues.
- Excellent computer skills, including a high degree of proficiency in Microsoft Word, Teams, Excel, Outlook, and PowerPoint.
