More broadly, the role is responsible for the collection, monitoring and maintenance of faculty data and contributes to the development and review of information systems within the faculty environment and in accordance with reporting requirements.
- The position requires regular contact and collaboration with various departments within Melbourne Business School and within the University of Melbourne. It is the first point of contact for people wishing to communicate with the department and requires interactions within the broader MBS community and within and across teams both internal and external to the School.
- This is a full-time, permanent opportunity based in Carlton, with a hybrid working model

**THE OPPORTUNITY**

The Administration Coordinator will be responsible for maintaining and updating faculty databases and information systems. Supporting both Associate Dean Faculty (ADF) and Faculty Resources Manager the role oversees accounts and HR administration as well as having an impact on quality process improvements.

Some key accountabilities include:

- Assist and support the Associate Dean Faculty (ADF) to develop, implement and maintain the faculty database system
- Oversee the cleansing and maintenance of data ensuring the quality and integrity of database information and reports
- Assist the ADF to develop the faculty Intranet site on SharePoint including the creation, update and maintenance of custom forms and all other materials relevant to the information needs of faculty
- Contribute to the development and delivery of a faculty events calendar, update and maintain information as required
- Process and reconcile different financial transactions as well as provide management reports on request
- Complete University credentialing processes for professional and academic staff monitoring expiry and renewal dates
- Coordinate the academic visitor program, record, collate and report on visitor data and monitor budgets and expenditure

**ABOUT YOU**

You will bring to us strong administrative experience in a high-volume, fast-paced environment. You are an energetic and positive person with a can-do attitude who thrives in complex situations and is keen to support Faculty resources in a variety of interesting tasks.

Ideally, you'll also have:

- Completion of a tertiary qualification or an equivalent combination of relevant work experience and/or education/training.
- Strong aptitude and proficiency in database administration, SharePoint, CRM, and across the MS Office Suite
- Excellent attention to detail, and accuracy alongside strong administrative skills
- Strong verbal and written communication skills
- Excellent time management skills
- Ability to multi-task, prioritise and thrive in a high-volume, fast-paced environment
- Resilience, with the ability to adapt and be flexible to meet the dynamic needs of the organisation
- Process oriented with a problem-solving, solutions-focussed mindset
