**SUMMARY**
The Administrative Coordinator is responsible for providing comprehensive administrative support to members of the Australia team and APAC region. The role entails a wide range of responsibilities, including scheduling coordination, meeting support, event management, data collection, and document creation. Additionally, the position will encompass receptionist and office management functions. The Administrative Coordinator requires a strong personal organization system and the ability to quickly prioritize new and existing tasks. The role will work with critical and strategic information, requiring the Adminstrative Coordinator to continually operate with a high level of trust and confidentiality. The ability to interact and support a high-energy and dynamic team is critical. The Administrative Coordinator will rely on experience and good judgment to plan and accomplish goals while demonstrating professionalism, integrity, and creativity as an essential member of the MasterControl team.

**RESPONSIBILITIES**
- Support executive calendars and meeting schedules, helping to ensure critical meetings take place with maximum possible attendance.
- Process expense reports on behalf of Leadership team members.
- Manage the planning and execution of Australia events and meetings, including scheduling, reservations, agenda creation, and follow-up action items.
- Work closely with the Corporate Services teams to support internal processes and operational functions. Some of these functions could include employee event support, receptionist duties, and employee snack program assistance.
- Assist with reservations for executive travel, both international and domestic.
- Gather data for presentation materials and internal reporting.
- Organize office-related tasks such as food, kitchen supplies, and stocking the kitchen/office.
- Coordinate and organize events and team activities.
- Organize office as needed (outside of cleaners) to ensure a well-maintained and organized workspace.
- Fulfill front desk reception duties, ensuring professional and courteous interactions with visitors and employees.
- Serve as the administrative point of contact for coordinating work with teams in the US, such as Human Resources.
- Manage facilities-related tasks, ensuring a conducive and well-functioning office environment.
- Handle administrative tasks specific to the APAC region, fostering effective cross-border coordination.

**PREFERRED SKILLS**
- Experience with Microsoft Office Suite (Word, Excel, Outlook, etc.).
- Mastery of planning, coordination, and task prioritization skills.
- High school diploma required, college degree preferred.
- Office administration experience is preferred

**PHYSICAL DEMANDS AND WORKING CONDITIONS**
- Ability to operate a computer and work at a desk for an extended period of time.
- Ability to travel and attend events where one may be standing for long periods of time.
