**About the team**
The Office of the Secretary supports the Secretary to drive focus on the things that matter most across the Cluster, government and key stakeholders for our customers, our people and the greater good.
The Business Services team is responsible for providing high level business support services and processes to deliver an efficient executive function and ensure the smooth operation of the Division.
**The opportunity**
We have an exciting opportunity for an Executive Coordinator to join the Business Services team within the Office of the Secretary. We are looking for a dedicated, professional Executive Coordinator with extensive experience providing high level executive secretarial and administrative services to **support the Transport Secretary**. This role will establish a rhythm of working with the Secretary and gain an understanding of priorities, key deliverables and relationships. You must effectively manage the engagement with all transport industry agencies, Government representatives and external stakeholders, ensuring business needs are met in a proficient and timely manner.
You will be responsible for managing all aspects of coordinating and maintaining the diary, administration of meetings, and efficiently managing the mailbox. You will be working in a fast paced, high-volume environment, often with competing priorities and multiple stakeholders. We must work collaboratively and coordinate information which supports the efficient and on-time delivery of work outcomes.
This role will be required to handle critical and sensitive issues that require the Secretary’s attention. Confidentiality and diplomacy must be displayed at all times. This is a unique opportunity to work directly with one of NSW’s most senior public servants, expand your networks and have a bird’s eye view of a range of projects, services and activities being undertaken across the Transport Cluster.
You will be involved in:
- Undertaking coordination and administration of meetings for the Secretary, ensuring the necessary documentation, Briefings and Reports required day-to-day for upcoming meetings is provided
- Coordinating and maintaining the Secretary’s diary, including managing competing priorities, arranging meeting schedules and travel arrangements
- Managing procurement and HR systems to support the Secretary.
- Receiving senior level visitors attending meetings with the Secretary and coordinating any follow-up matters.
- Leading the regular Executive EA forum and managing the Transport Administrators’ Network.
- Working with the Secretary Communications team, the Stakeholder team and Leadership100 team to contribute to the development and delivery of Secretary events, meeting materials and communications.
- Establishing and maintaining strong working relationships with the Secretary and Senior Executive Team.
- Working cooperatively within a team, exchanging information and assisting other team members to achieve team objectives and work outcomes.
- Building, developing and maintaining strong and co-operative working relationships to enable effective communication with internal and external stakeholders at all levels

**About you**
We are looking for a self-starter who can hit the ground running. You will be someone who thrives in a fast paced, complex environment. You will have a sound understanding of working within complex business processes, as well as a proven track record of effectively liaising with stakeholders. Importantly, you always uphold a high level of integrity and display confidentiality and discretion. An understanding of the workings of government would be highly regarded.
To be successful in this role you will be required to work from the 231 Elizabeth Street, Sydney building up to 5 days a week.
