Job Purpose: As Executive Secretary, you will provide outstanding and comprehensive secretarial support to the Divisional Vice President - Australasia. This position will also see you working in a highly organised and collaborative way with all the Head of Departments across our operations in Australia and New Zealand and more widely, across Emirates global network. The Executive Secretary will also be responsible to: Job Accountabilities - Monitor the daily schedule of the Divisional Vice President and furnish required information/documentation for meetings/appointments, by co-ordinating with sources within Emirates and externally. This includes coordination of International and Domestic travel and accommodation arrangements where necessary. - Develop and maintain strong relationships with key internal stakeholders across all levels in the organisation including external parties whom Emirates will benefit from. I.e. external EA/PA/Team Assistants in multinational/global companies. - Provide secretarial support by attending to administrative tasks. - Screen incoming mail and telephone calls referring essential ones only to the Divisional Vice President. Act as the focal point of contact and filter for visitors. - Action responses, re-direct correspondence to the appropriate department heads/individuals obtaining additional information where necessary. - Supervise the Head of Departments attendance records and verify claims, where necessary ensuring these are processed within specified time frames. - Be fully conversant with the activities of Emirates in order to liaise effectively with senior executives both internally and externally on behalf of the Divisional Vice President. - Undertakes a variety of special projects, involving internal and external research and liaison, on behalf of the Divisional Vice President and within guidelines provided. - Identify, anticipate and prepare information for meetings, appointments, presentations etc. and proactively follow up on requests for information, outstanding reports and correspondence. Prepare quality correspondence, including reports, slide presentations, letters, memo’s and other documents, writing minutes of meetings etc. - Other administrative tasks as directed by the Divisional Vice President and ensure compliance with company policies and procedures.
Qualifications & Experience: - Educated to a Higher School Certificate (HSC) level. - Experience as an Executive Assistant / Executive Secretary, with a considerable portion spent providing support to a senior executive level. - Experience in the Australian Travel Trade would be advantageous. - Excellent attention to detail, networking skills, resourcefulness, patient with a high level of interpersonal skills in being able to interact with senior executives both internally and externally. - Excellent communication skills, both spoken and written English. - High degree of confidentiality and maturity to handle matters with tact and discretion. - Good time management skills, highly organised and should have the ability to handle a variety of tasks simultaneously and often under pressure. - Thorough working knowledge of MS Word, Excel, Power-point and Outlook.
