PRIMARY OBJECTIVES:
The Office & Executive Administrator is responsible for assisting to oversee Office Administration related duties, projects and processes within the Bundall office and supporting overall office administration including day-to-day office operation, maintenance, new staff commencement and onboarding support in conjunction with the EA team. As well as providing high level professional administrative support for the President & Managing Director when he is travelling to and operating from the office and those Executive staff that are travelling while working from the Bundall office.
PRINCIPAL RESPONSIBILITIES: (Include but not limited to:)
- Serve as a first point of contact for staff and guests
- Maintain a good relationship with vendors, service/delivery personnel and building management team
- All administration duties as required by the President & Managing Director, including but not limited to:
- Travel coordination
- Processing and managing expense claims
- Meeting minute taking and organization
- Drafting and formatting correspondence
- Diary Management
- Provide ad hoc secretarial support for visiting senior leaders or when covering for annual leave for EAs of other Executive team members.
- Assist with general office equipment, supplies and stationery for Executives and EA team
- Filing, photocopying and archiving documents as required for the EA team and Executives
- Assisting in servicing meetings with beverages and catering as required in support of the Exec team
- Assist with onboarding plans for new staff members in conjunction with EA and HR teams.
- Assistance in administrative initiatives and upholding procedures ensuring compliance with office policies
- Process & track payment for invoices for the department of the President & MD.
- Assisting the Chairperson in running Wishes by Wyndham, our charitable branch.
- Any other duties as and when assigned
- Lead by example in both professional and personal conduct.
- Employees must not willfully place at risk the health and safety of themselves or any other persons in the workplace and to not willfully or recklessly interfere with or misuse anything provided for health and safety.
- Display innovation through inspiring, creating and improving processes and products.
KEY POSITION CRITERIA:
- Relevant experience in office administration
- Advanced Proficiency in MS Office
- Hands on experience with office machines and equipment
- Have the capacity for high level of discretion and proven ability to handle matters sensitively and confidentially.
- Strong customer service skills and customer focused approach to day to day work
- Excellent time management skills and ability to multi-task
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organisational skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- Driver’s license is required
- High school degree, additional qualification as an administrative assistant or secretary will be a plus
