**About the role**
We have an exciting 14 month contract opportunity for an experienced Executive Assistant to join QIC’s Infrastructure team in Brisbane.
The role of the Executive Assistant is to provide direct executive support to the Head of Global Infrastructure. The Executive Assistant is both a role that works autonomously and as part of a wider team and as such, you will need to demonstrate the ability to be successful and thrive in both environments. You will demonstrate an aptitude for relationship management and be effective in understanding the ever changing needs of the Infrastructure leadership team, wider Infrastructure team, QIC internal divisions and various external clients and investors. In this role, you will be responsible for:
- Managing a large and multifaceted inbound flow of communication from both internal and external contacts. It will be imperative to quickly decipher and determine the priorities and share these with the Head of GI
- Complex travel coordination both domestic and international - cost/budget management, transport logistics, flight and accommodation bookings, car hire, visas, foreign currency etc.
- Drive client presentation preparations to ensure deadlines are met and take accountability for the progress of the team
- Support with document creation - word processing, PowerPoint presentations, Excel spread sheet generation and maintenance.
- Prepare documents for the various internal and external Board commitments, client related meetings, deal related activities and following up with other team members to request agendas and content to ensure these are in place to meet deadlines.
- Prepare monthly reconciliation of corporate credit cards for Head of Global Infrastructure and relevant Brisbane
- based Infrastructure team members and work with the Infrastructure support team to provide additional assistance to the wider Infrastructure team.
**About You**
To be successful in this role, you will have at least 8+ years’ experience in a fast paced high level Executive Support role, preferably within financial services or a professional services environment and supporting C-suite level roles.
In addition to this, your key strengths spanning across key areas such as:
- Strong emotional intelligence and being able to work collaboratively across a wide range of contacts both internal and external to QIC
- Ability to work autonomously and identify priorities for the Head of GI
- Be a positive and effect conduit for the Head of GI and the wider Infrastructure team internally and externally
- Solutions oriented and comfortable in working, at times, in stressful situations where the pathway is not always clear
- Working across offices & time zones inside (Brisbane, Sydney, Melbourne) and outside Australia (New York, London), coordinating across peers key internal committees
- A self-starter and ability to work independently when it is needed and at times with limited guidance
- Exemplary attention to detail in all written communication
- Exceptional organisational and time management skills
- Demonstrated initiative, drive, professionalism with the ability to “think, question and challenge”, good judgement in distinguishing the urgent vs. important, prioritisation, expectations management and escalating issues when necessary
- Demonstrated experience managing budgets/costs and collaborating with executive support teams.
- Experience in management of extensive domestic and international travel
- Demonstrated ability to be an integral member of the team by fostering a strong team environment and encouraging collaboration and communication across the team members
- Advanced skills in Microsoft Office suite (Excel, Word and PowerPoint)
