The Role
The Bid Coordinator will co-ordinate and produce the proposal (EOI, RFT, ITT, RFP etc.) document. Responsibilities include introduction and implementation of all necessary document version control procedures and processes. This role requires the highest levels of attention to detail and an ability to work under pressure and to demanding deadlines. The role demands a high level of co-ordination between departments to ensure all the relevant information is received, reviewed and incorporated within the submission in line with the associated deadlines.
Undertaking a Go/No Go exercise to decide whether to make a submission or not
Understanding the RFQ, deciding timelines and responsibilities
Briefing the Estimating team on upcoming tenders and assigning tasks and deadlines;
Maintain tender and lead register;
Ensuring all relevant internal and external parties have current documentation and information;
Timely management of tender activities
Preparation of tender submission documents and compiling all relevant information for submission to the client;
Methodologies and executive summaries
Quality control and procedures
Copy-writing, where appropriate
Obtaining feedback from clients when tenders are unsuccessful in order to improve in future
Give guidance with business and marketing development
Provide insight and analyses of forthcoming opportunities, purchasers' mindsets, best practice and dealing with purchasers;
Prepare and submit any pre-qualification documents required by Client in order to pre-qualify to tender

Tertiary or higher level qualifications in Administration/ Communications/Business
Demonstrated ability in comprehension and interpretation of construction documentation and construction terminology;
Extensive knowledge and experience in construction tendering requirements;
Proven experience in compiling submission documentation within the construction industry;
Experience working within a team environment and ability to work on own initiative.
A minimum of 2 years previous experience in the preparation of tenders in the construction industry.
A minimum of 2 years in the proposal development, coordination and management, including scheduling of submissions for tender in the construction industry.
