Dynata ANZ is looking for a motivated Office Coordinator based in our central Sydney office.
As an Office Coordinator, your main responsibility will be to organize and supervise all the administrative activities that ensure smooth running of our ANZ Offices (Sydney, Melbourne & Auckland). At times you maybe required to support other offices across APAC and you are, at times, required to perform executive assistant duties for management.
**Responsibilities**:
- Manage office facilities and office equipment needs - liaise with Facilities Management when required. Ensure the Sydney office is maintained to a high standard daily
- Strong creative communication skills to promote events on LinkedIn, other social media platform
- Coordinating travel and managing the travel booking system (including insurance)
- Provision of all supplies, equipment, and stock for the Sydney and Melbourne offices. Assist other APAC offices occasionally as required
- Arrange and coordinate successful staff/office weekly/ monthly/quarterly events and functions, including invitations, venues, catering, room set up and logistics to ensure events run smoothly and meet objectives.
- Conference, Seminar and Social Event management and coordination: overall responsibility for ensuring events are proposed, planned, booked and executed effectively
- Day to day management of reception and phones; handle mail and couriers; expense administration
- Other general office administration - support for Sales, Finance, HR, and Marketing as required - see below
- Internal Communications local & global liaison. Prepare or support local participation in global initiatives, company events, communications updates, and content.
- Manage and deliver the Company Charitable Program (GIVE)
- Up to date First Aid Representative & Fire Warden
HR Specific
- Assist with new hire onboarding
- Prepare office update slides for company presentations
- Support for internal Recognition program (Dynamo) and global programs where required
- Arrange weekly events Tue/Thursdays to build team culture
- Service Award Program administration, requests and queries
**Requirements**:
- 2-3 years’ experience in general office administration.
- Strong social media influencer
- Excellent interpersonal skills with the ability to build relationships at all levels
- A self-starter and a real team player, who can evidence using their initiative and their ability to work under pressure
- Ability to work to deadlines and manage conflicting priorities whilst maintaining good attention to detail
- Strong interpersonal and administration skills
- A positive attitude and solution-oriented approach
- Effective time management and organisational skills
- Team player with the ability to work independently
- Flexibility and adaptability
