We are currently seeking a proactive and highly organised **Executive Assistant** to provide comprehensive support to our Managing Director and oversee the day-to-day operations of our Head Office. This is a fantastic opportunity to be involved in a variety of strategic and operational tasks within a growing business.
**Key Responsibilities**:
**Executive Assistance**
- Provide time management support to the Managing Director, including calendar management, scheduling meetings, appointments, and travel arrangements.
- Prepare documents, including presentations, reports, and proofing of documents.
- Manage confidential information and correspondence.
**Office Management**
- Oversee the day-to-day operations of the Head Office, including facilities management, general IT support, cleaning schedules, and office supplies.
- Manage office budgets and ensure the efficient use of resources.
- Coordinate with external vendors and service providers, such as body corporate, bin collectors, and cleaners.
- Plan and execute event management and team engagement activities.
- Maintain Support Office documents, including policies and procedures, stationary, and templates.
**Project Management**
- Plan and manage quarterly team goals and tasks.
- Assist in the planning, execution, and monitoring of key projects and initiatives.
- Coordinate cross-functional teams and ensure project deliverables are met.
**Strategic Support**
- Research and analyse industry trends and best practices.
- Provide strategic insights and recommendations to the Managing Director and leadership team.
- Assist in the development and implementation of company policies and procedures to optimise efficiency and productivity.
- Review, design, and execute improvements to organisational structure, identify knowledge and skills gaps, and help address them.
- Oversee strategic business initiatives, from development through to execution.
**Communications**
- Distribute meeting minutes and follow up on action items.
- Execute regularly scheduled communications to the support office and network as per the communication calendar.
**Skills & Qualifications**:
- Previous experience in an executive assistant or office management role is highly desirable.
- Strong organisational skills, with the ability to manage multiple tasks and priorities effectively.
- Excellent written and verbal communication skills.
- Ability to work independently and proactively, with strong attention to detail.
- Experience in hospitality or a fast-paced environment is an advantage.
