**The Role**
Reporting directly to the Chief of Staff, the Operations Coordinator is integral to the smooth functioning of DEWR’s most senior executive office. The Operations Coordinator is responsible for managing critical administrative functions and ensuring efficient coordination across a small and dynamic team. The role requires excellent organisational skills, sound judgement, discretion, and the ability to work in a fast-paced senior executive support environment.

**Skills and Capabilities**
Key responsibilities of the position may include:
Workflow management and team support
- Working with the Chief of Staff to manage workflow and task tracking proactively for the Office of the Secretary, capturing tasks undertaken by the Senior Adviser and Advisers (including those commissioned to internal and external stakeholders).
- Work closely with the Chief of Staff to prioritise, monitor, and follow up on action items to ensure deadlines are met.
- Work with the Program and Engagements Adviser to prepare and coordinate the Secretary’s staff and stakeholder engagements, including working collaboratively to arrange Secretary meetings, speaking events, travel (including travel by other members of the Office), and appropriate briefings.

As required, provide administrative support to the Office of the Secretary, including:

- Assisting with document preparation, coordinating briefings, and responding to internal inquiries
- Greeting external visitors and escorting them to the Secretary’s workspace or meeting room
- Preparing the Secretary’s workspace and other meeting rooms each day

Supporting the Chief of Staff’s engagements and advice to the Secretary
- Prepare and coordinate materials for the Chief of Staff, including maintaining and updating accurate records of key priorities, decisions, and actions (including, e.g. in OneNote).
- Coordinate and manage the Chief of Staff’s diary, ensuring effective scheduling of meetings, briefings, and clearance times.

Financial administration for the Office
- Process financial approvals and acquittals on behalf of the Secretary and Chief of Staff, including credit card reconciliations, travel expenses, and other departmental financial processes.
- Liaise with Finance and other internal corporate teams to ensure compliance with departmental procedures and timely processing of transactions.

Skills and capabilities
We are seeking an individual with the following skills and capabilities:

- Strong organisational and time management skills with the ability to manage competing priorities.
- Excellent interpersonal and communication skills, with the ability to liaise confidently with senior executives and external stakeholders.
- Proven ability to work independently and as part of a small, collaborative team.
- Familiarity with government processes, financial systems (e.g. Expense8), and task tracking tools (e.g. MS Teams Planner) is highly desirable.
- Uphold the highest standards of discretion, integrity, and professionalism in line with the APS Values and Code of Conduct, including when managing sensitive and strategic matters for the Secretary

**The Opportunity**
This position is available to APS employees as a temporary transfer at level and/or a temporary performance (Acting) opportunity for a period of 12 months.
