Duties and responsibilities include but are not limited to:
**Program Delivery Support**:
- Facilitate meetings for smooth program delivery
- Manage schedules for key activities and events
- Efficiently screen and disseminate phone calls
- Undertake high-level word processing for documentation needs
**Safety and Compliance Reporting**:
- Maintain databases for accurate reporting
- Compile management reports for strategic decision-making
- Ensure adherence to approved policies and procedures
**Customer Service and Communication**:
- Respond promptly to customer inquiries
- Initiate actions for efficient front-line service
- Handle internal and external correspondence
**Financial Processing Support**:
- Prepare, process, and verify accounts and expenses
- Adhere to approved finance procedures
- Contribute to accurate recording and costing
**Work flow and Activity Management**:
- Maintain and report on Branch work flow
- Check data accuracy and provide reports
**Documentation and Communication**:
- Prepare correspondence, newsletters, and educational material
- Ensure timely delivery to stakeholders
**Policy Adherence and Compliance**:
- Adhere to policies and procedures
- Comply with WH&S policies, promoting a safe environment
**Calendar and Diary Management**:
- Efficiently manage key personnel calendars
**Communication and Stakeholder Management**:
- Facilitate communication across business areas
- Manage stakeholder relationships
**Meeting Coordination**:
- Coordinate meetings and agendas
**Research and Reporting**:
- Conduct research and contribute to reports
**Travel Arrangements**:
- Organise domestic and regional travel
**Purchase Orders**:
- Process and manage purchase orders

**The Successful Applicant**:
- Proven ability to organise and prioritise work, meet deadlines, and work independently or collaboratively
- Experienced in providing high-volume administrative services and making sound decisions aligned with policies
- Proficient in preparing management reports and responding to customer inquiries promptly and accurately
- Excellent communication and interpersonal skills, handling confidential information with integrity
- Criteria include exceptional organisational and time management skills, strong attention to detail, and 3-5 years of relevant experience
- Preferred background in public and/or private sectors, with proficiency in MS Office and desirable experience in D365, SAP, and events management
