Administration Support Officer

**Responsibilities of the role**:
- Assist immediate action officers in the handling of serious matters, including administration and work processing support using appropriate precedent and formats whilst maintaining confidentiality.
- Manage conflicting deadlines using highly developed prioritisation skills through receiving and triaging written and verbal health service complaints, notification and enquiries whilst conducting thorough and timely comprehensive reviews of incoming material.
- Liaise as appropriate with various internal and external stakeholders to deliver outcomes and continuously improve the efficiency and effectiveness of immediate action processes.
- Maintain accurate case, complaint, and enquiry records information in internal database systems in accordance with legislative and organisation requirements and assist with reporting requirement of the team.
- Assist the Principal Intake and Triage Officer to undertake a risk assessment of complaint information to determine priority for processing and triaging according to the risk presented to the health and safety of the public.
- Monitor incoming complaints and processing status to ensure high risk complaints are escalated to be dealt with expeditiously and escalate any delays or workflow obstacles with line managers and senior officers.
- Provide assistance to, and where appropriate make referrals for, individuals making an enquiry with the OHO.
