**The opportunity**:
We’re seeking a talented individual to provide top-notch support to our Director of Engagement and Development and our Head of Philanthropy. If you excel in managing multiple tasks efficiently, liaising with diverse stakeholders, and supporting high-level initiatives, this role is for you
In this pivotal role, you’ll be the linchpin connecting board members, key donors, internal team members, and other vital contacts. Your exceptional organisational skills and keen attention to detail will ensure the seamless execution of various administrative and coordination tasks. Additionally, you will play a crucial role in supporting the Media and Communication, and the Brand and Marketing teams within the Engagement and Development function.
**Your responsibilities include**:
**Stakeholder Liaison**: Serve as the primary point of contact for all stakeholders, including board members, major donors, internal team members, and other key contacts. Facilitate effective communication and coordination to build and maintain strong relationships
**Meeting Coordination**: Organise and coordinate internal and external meetings, events, and seminars, including sending personalised invitations, preparing agendas, setting up rooms, and arranging catering.
**Appointment Management**: Oversee the Director's and Head's calendars, including scheduling appointments with stakeholders, preparing meeting materials, and ensuring all relevant information is presented and necessary actions are taken
**Travel Arrangements**: Manage travel plans, accommodation, and schedules for visitors.
**Stakeholder Communication**: Handle correspondence, visitors, and phone calls professionally, ensuring a high level of service for all stakeholders
**What we need from you**:
Bachelor’s degree in business administration, management, or a related field preferred
Minimum of 7 years of experience in an executive assistant or administrative role, preferably within a non-profit, research environment, or professional services. Proven experience working with executives, boards, and high-net-worth individuals (HNWIs)
Exceptional organisational and time management skills, strong written and verbal communication abilities, proficiency in Microsoft Office Suite and donor databases (e.g., Raisers Edge), and excellent interpersonal skills
Detail-oriented, proactive, able to handle sensitive information with discretion, and capable of working independently and as part of a team
