**THE ROLE**
The purpose of this role is to provide a range of administrative and support services for the Intrinsic Health Group. The Business Support Officer (BSO) monitors organisational boundaries with respect to CEO support; recruitment, onboarding and orientation tasks; tracking professional certifications and mandatory training; and tender screening and management. In part, this role could be executed remotely but will require a face-to-face presence in the Brisbane Office per the employment contract.
The BSO reports to the Director of Strategy & Governance as part of the People & Culture Group, and directly to the CEO for CEO support tasks. In addition to the CEO, the BSO works closely with the Corporate Leadership Team members (CLT) including the Director of strategy & Governance, Director of Clinical Services, Marketing and Communications Officer, and the Training and Compliance Officer, to support the actions of the CLT.
The BSO is responsible for a variety of related tasks, that are frequently but not constantly required. This requires an advanced ability to prioritise tasks.
This role is ideally suited to a four day (0.8) appointment with potential to increase to full-time (1.0) hours as the role develops. _The annual salary advertised is at a full-time rate. _
**General responsibilities**
CEO and CLT Support
- Provide administrative, clerical, and ad hoc CEO support to the CEO
- Provide support to the CLT for key projects and initiatives
- Collate materials and manage bookings for presentations
- Update and maintain records and databases, complying with processes to ensure that all information is accurate, stored correctly and accessible.
- Develop knowledge of relevant legislation, policies, procedures and guidelines to ensure the compliance with regulatory requirements.
Grant and Tender Management
- Manage allocation and collation of tender submissions
- Collect and compile information and prepare documentation and correspondence in line with quality and organisational requirements to support information flow and inform decision making
- Actively register and scan opportunities with granting and tender bodies
- Develop solid tender and grant content that meets all selection criteria
- Use project management techniques to support CLT to stay on-track/on-time
- Coordinate and facilitate team communications
- Produce graphics to support and complement submissions
- Develop style templates and bank of responses for key components
Recruitment
- Coordinate engaging advertisements in liaison with relevant staff
- Reference, probity, and compliance checking
- Recruitment administration, including database management.
- Actively recruit personnel in liaison with Marketing and Communications Officer using a range of sourcing strategies to attract employees,
- Work with the CLT and People & Culture Group to develop, trial and evaluate novel approaches to the Intrinsic talent acquisition funnel
- Onboarding
- Identify opportunities for process improvement
- Complete onboarding process for all new staff
- Orientation
- Oversee coordination of the orientation process
- Ensure internal CLT support requirements and timelines are met
- Ensure clear handover to local managers for their delivery of the orientation process for all new staff
- Certification and mandatory training tracking
- Oversee professional certifications and mandatory training
**Desirable qualifications**
- Tertiary qualification (Bachelors, Certificate, Diploma) in Administration, Psychology, Human Resources, Project Management, or a related field
- HR/Recruitment experience is highly regarded
**Desirable experience**
- Project management experience
- Minimum twelve months experience in an administration/coordinator role in a fast paced, service-oriented environment
- Recognition as a team player and the confidence to manage up
**Required knowledge**
- Understand and use available technologies to maximise efficiencies and effectiveness including proficiency with Microsoft Office suite, Outlook, Excel, and PowerPoint.
- Ability to manage multiple priorities with delivery to agreed timelines
- Proficient in both oral and written communication
- Complete confidentiality, sensitivity, and delicacy in managing sensitive data and client information
