The primary purpose of this role is to provide comprehensive support to MT Food Group in the areas of sales, purchasing, accounts, export documentation, and logistics. In essence, to be the key person ensuring the smooth flow of operations from production to its destination.
- This role requires strong numerical accuracy and familiarity with financial documentation, export processes, and data entry systems._
**Operating Environment**
This is a full time, 9am -5pm role based at our Braeside office. Travel to the airport or to suppliers may be required on rare occasion.
**Principal Accountabilities (KPA’s)**
**Sales & Purchasing Support**
- Generate purchase orders, sales confirmations, and Shipping Instruction (SLI) documents for new and ongoing orders.
- Prepare costings for new and existing business opportunities.
- Coordinate deliveries with suppliers and update the team with weekly shipment schedules.
- Assist with overseas buyer visits and onboarding new customers.
**Export Documentation Support**
- Prepare and manage export documentation to ensure compliance and timely sea and air freights.
**Office Support**
- Oversee the purchase of office supplies and packaging materials.
- Assist with MYOB data entry.
- Take minutes at weekly sales meetings, set agendas, and track follow-up actions.
**Key Performance Indicators (KPIs)**
- Efficiently execute the administrative tasks outlined in the Principal Accountabilities section.
- Build and maintain positive relationships with staff and key relationships outlined below
- Accuracy in performing data entry in systems and documentation
**Key Relationships**
- Build and maintain strong relationships with key suppliers, customers and distributors
- Foster and maintain relationships with freight forwarders and shipping companies to ensure smooth operations.
**Key Skills & Capabilities**
**Skills**
- Familiarity with the food industry and export processes is a bonus.
- Proficiency in Excel and other MS Office computer software.
- Knowledge of country-specific export requirements will be looked upon favourably.
- Strong relationship-building skills with suppliers and customers.
- Attention to detail, including accurate data entry and document preparation

Pay: $65,000.00 per year
