Program Administrator

**Position Title**: Program Administrator - Timber Wholesaler

**Salary Range**: AUD $77,000 - $80,000 per annum, plus superannuation

**Position Overview**:
The Program Administrator is responsible for managing and coordinating the day-to-day operations of our warehouse and logistics program within a timber wholesale business. This position ensures smooth and efficient program delivery by overseeing warehouse operations, supervising staff, managing safety and compliance, and maintaining effective client and stakeholder relationships.

The role duties includes the coordination of programs, supervising operational staff, monitoring performance, and ensuring service delivery standards are met. This position plays a vital part in ensuring our logistics program meets both customer expectations and business objectives.

**Primary Responsibilities**

**1. Program Planning and Coordination**
- Oversee the implementation and continuous improvement of warehouse and logistics operations.
- Plan and coordinate daily program activities, including resource allocation and workflow scheduling.
- Monitor operational KPIs and identify areas for efficiency gains.
- Report to senior management on performance outcomes, delays, or areas requiring intervention.

**2. Team Leadership and Supervision**
- Manage and supervise a team of warehouse storeworkers and truck drivers.
- Allocate and prioritise tasks based on delivery requirements and warehouse needs.
- Provide operational support, coaching, and address performance or behavioural issues.
- Ensure all team members operate in accordance with internal policies and procedures.

**3. Workplace Health and Safety (OH&S) Oversight**
- Ensure compliance with occupational health and safety regulations.
- Conduct regular safety inspections, hazard assessments, and risk mitigation strategies.
- Lead toolbox talks and promote a safety-first culture.
- Manage incident reporting and corrective action processes.

**4. Logistics and Delivery Coordination**
- Organise daily dispatch schedules, manage delivery routes, and optimise vehicle use.
- Liaise with clients to confirm delivery times and service requirements.
- Resolve delivery delays or issues with mínimal disruption to service.
- Track delivery performance and maintain accurate records.

**5. Warehouse and Inventory Management**
- Plan and manage efficient stock placement and movement within the warehouse.
- Monitor stock levels, conduct reconciliations, and coordinate restocking activities.
- Collaborate on warehouse layout optimisation to meet changing operational needs.

**6. Client and Stakeholder Engagement**
- Act as the main contact for client queries and delivery updates.
- Provide professional and timely communication regarding service issues or scheduling.
- Build and maintain long-term client relationships to support business continuity and satisfaction.
- Liaise with suppliers, subcontractors, and internal departments to ensure program success.

**Skills, Qualifications, and Experience Required**
- Minimum of **3+ years’ experience** in program administration, logistics coordination, or warehouse operations.
- Proven experience supervising operational teams and managing delivery or warehouse programs.
- Strong understanding of workplace health and safety standards.
- Excellent communication and problem-solving skills.
- Ability to manage competing priorities and deliver outcomes under pressure.
- Proficient in basic logistics or warehouse management systems is desirable.
