The role The purpose of the Executive Support Officer/Correspondence Officer, is to comprehensively provide, develop and maintain an efficient, effective and confidential administrative and correspondence support to the Senior Director, People, Safety and the Performance and the People, Safety and Performance unit.

**Key responsibilities**:

- Manage the office of the Senior Director by providing confidential, executive and secretarial support including the production of high-quality documents, diary management, travel bookings and timely provision of documentation to support the Senior Director's participation in meetings.
- Using discretion, autonomously examine, redirect and respond to incoming correspondence for the office of the Senior Director (including papers and reports); and where appropriate prepare replies for consideration (within defined boundaries).
- Liaise, negotiate and consult with the senior management and officers across the units, branch and division, to ensure correspondence is completed in a timely manner.
- Proofread and edit outgoing correspondence to ensure accurate, timely and relevant information is provided.
- Autonomously assign, track, monitor and report on all incoming and outgoing correspondence for the People, Safety and Performance unit.
- Maintain an effective records management system to implement efficient correspondence and document tracking.
- Review, develop, evaluate and improve unit correspondence work systems, procedures and guidelines (in line with Branch and Divisional requirements).
- Be an effective team member, willing to learn and actively participate in a high performing team.

**The successful personYou will have**:

- demonstrated current experience in a similar role
- experience in managing high volume incoming and outgoing correspondence
- experience with providing administrative support to a senior leader in a complex area of operation
- ability to multitask and manage competing priorities within set timeframes
- a proactive attitude, demonstrating a high level of initiative
- high level of attention to detail
- excellent communication and interpersonal skills and be a team player
- experience in the eDRMS/Content Manager system is highly desirable.
