**The Role**
The Skills and Training Group is seeking to fill an APS5 Executive Assistant (EA) position in the VSL, VET compliance and TRA Division (VVCT). The primary role of the EA is to provide high level administrative support to the First Assistant Secretary, ensuring the effective and efficient operation of the division on a day-to-day basis. The EA must exercise a high degree of communication competence, initiative, discretion, and confidentiality. In addition, the EA provides administrative support to the Division’s Executive Officer, and as required, Group Executive.

**Duties and Responsibilities**
- Organise and manage a variety of meetings and forums, including liaison with stakeholders and other government agencies.
- Manage documents for the attention of the First Assistant Secretary, including tracking and clearance procedures in an effective and timely manner.
- Work with division staff to ensure that all correspondence is managed appropriately ensuring all deadlines are met.
- Coordinate the workflow of the office and undertaking more complex administration tasks.
- Support the Division EAs, developing, mentoring and working together to streamline processes to improve productivity and outcomes.
- Support procurement activities and payment of invoices as directed.
- Manage record keeping in accordance with departmental processes.
- Coordinate and track tasks, correspondence and Parliamentary briefings.
- Manage the Division leave calendar, org chart, phone list, etc.
- Assist with onboarding, new starters and departing staff if required.
- Represent the Department, Division and First Assistant Secretary in a professional, fair and courteous manner.
- Convey a positive and professional image of DEWR and model the expected behaviours of the DEWR Values, APS Code of Conduct and APS Values.
- Provide support to the SES to deliver Departmental and Government priorities.
- Actively participate in a collaborative team environment based on supportiveness, development, knowledge sharing and effective communication.
- Build and sustain effective working relationships with internal and external stakeholders.
