The Fair Work Ombudsman (FWO) is an independent statutory office established by the Fair Work Act 2009. Our functions outline the responsibilities we have as set by the Fair Work Act 2009 to achieve our purpose to:

- provide education, assistance, advice and guidance to employers, employees, outworkers, outworker entities and organisations
- promote and monitor compliance with workplace laws
- inquire into and investigate breaches of the Fair Work Act
- take appropriate enforcement action
- perform our statutory functions efficiently, effectively, economically and ethically.

Our Legal Group is a busy national practice with a range of interesting work, and comprises three branches, including the Advice Branch and two Legal Compliance and Enforcement branches. These branches provide advice on legal matters, conduct civil penalty litigations relating to Commonwealth workplace relations laws and provide a range of specialised technical advice.

**About the Role**

The Executive Assistant provides a high level of client-focussed support and coordination to the senior executive and to internal and external stakeholders. The APS 4 Executive Assistant reports directly to two SES Band 1 Executive Directors and is one of the primary contacts that stakeholders will have with the Branch.

The Executive Assistant will work closely with the Legal Group Executive Officer and the CEO’s office on a daily basis.

This process may also be used to create an order of merit for future vacancies.

**Typical Duties**

The duties of this role might include, however, are not limited to:

- Triage workflow and matters requiring action / approvals / review through day-to-day liaison with the Executive Director, their direct reports, and teams
- Arrange domestic travel arrangements, reconcile expenditure and financial processing and administration, in accordance with FWO’s financial policies and procedures
- Coordinate meetings, conferences and other events, including taking minutes for meetings, and performing secretariat functions for working groups and committees
- Draft basic correspondence, presentations and reports as required
- Contributing to branch reporting and project management tasks
- File Court documents or assist in the preparation of Court documents.
- Provide high level administrative support to the branch and Legal Group, including maintaining organisation charts, mailing lists, leave schedules and other tasks as required
- Opportunity to lead or contribute to other branch management tasks depending on skills and experience

**What we are looking for**
- Excellent communication skills (both written and verbal), with the ability to develop and maintain positive working relations with internal and external stakeholders
- The ability to pro-actively undertake a broad range of administrative tasks
- Proven ability to work autonomously, demonstrate initiative, judgement and discretion
- Be able to problem solve and respond to changing priorities
- Have a high level of attention to detail and possess strong organisation skills
- Have a high level of competency in Microsoft Office programs and the ability to quickly acquire proficiency of Technology systems and processes (for example; Microsoft Teams, Customer Relationship Management Systems, SAP or similar etc.).

Experience in a legal practice environment will be highly regarded.
