**About the role**

We're looking for a highly energetic and organised Executive Assistant to support our CEO and Senior Executive team. This role will include all levels of administrative support, preparation of business reports, organisational assistance, scheduling of meetings, communications to various stakeholders.

The executive assistant will support both Japanese and Australian executives across the business. Some level of Japanese buisness understanding and Japanese speaking is desirable but not a requirement.

This is a full-time role with flexible working arrangements.

**In this role, you will be responsible for**
- Diary management for the CEO and executive leadership team.
- Scheduling and managing meetings as required including phone and video conferencing.
- Organising and preparing all necessary documents/presentations for meetings, distributing agendas, invites etc.
- Preparing draft correspondence, reports, and submissions for the CEO.
- Managing discrete projects as required by the CEO and executive leadership team.
- Arranging for the translation of letters and business documents when required.
- Managing expenses of the executive leadership team including receipts and credit card statements.
- Act proactively and often without supervision to anticipate needs and handle confidential information.
- Managing travel requirements for the executive team, both domestic and international.
- Support the Japanese executive team with various aspects of ex-pat life in Melbourne.

**What you'll bring to the role**
- Minimum of 2+ years of work experience in a similar role, EA, PA or office Administration.
- Proficient in MS Office (Word, Excel & PowerPoint) and MS Outlook.
- Exceptional time management and organisational skills.
- Excellent written and verbal communication skills.
- High attention to detail and consistency of output.
- Ability to multi-task and prioritise.
- Agility to support multiple people simultaneously.
- Ability to understand professional pressures and remain resilient under these circumstances.
- A positive, can-do attitude and happy to assist the wider team as a whole.
- Effective problem-solving methods and out-of-the-box thinking.
