**About the role**:
Workplace Office Services plays a pivotal role in ensuring the efficient delivery of services to support the ANZ REWS Team, focusing on optimizing processes, improving service quality and coordinating our mailroom. This position will report directly to Workplace Office Services ANZ Manager, located in Salesforce Tower Sydney. It will have a focus on administrative support for the Workplace Office Services team, mailroom support and functions
**Main Responsibilities**:
**Stakeholder Relationship Management**:
- Build trusted partnerships with key Salesforce stakeholders including REWS departments (Innovation Center, Facilities Management, Guest Services, Events, Culinary), providing high-level customer service and understanding their specific needs to deliver appropriate support.
**Cross-Functional Collaboration**:
- Work closely with workplace office services teams and various business partners (Marketing, PR, Internal Communications) across all ANZ locations to ensure seamless operations and communication.
**Comprehensive Shipping Services Management**:
- Handle all aspects of shipping within Salesforce Tower, including managing inbound packages, processing outbound bookings, completing documentation for international shipments, and working effectively under strict deadlines.
**Courier Coordination and Tracking**:
- Book courier services, monitor shipment progress from start to finish, communicate delivery timelines with requestors, provide tracking information, and identify potential delivery issues proactively.
**VIP Request Handling**:
- Manage priority booking requests from leadership and executive teams or their assistants, ensuring expedited service and special attention to high-priority shipments.
**Logistics Partnership Management**:
- Develop and maintain strong relationships with all shipping and logistics partners to ensure reliable service, negotiate favorable terms, and resolve any issues promptly.
**Information Management**:
- Administer internal Google sites for external employees, maintain Quip documentation, and manage Slack broadcast channels to ensure accurate and accessible information across the organization.
**Ticketing System Administration**:
- Manage the assignment and handling of Workplace Shared Services tickets across ANZ sites, ensure timely closure of event-related tickets, and provide support for furniture scheduling and event reporting.
**Slack Channel Optimization**:
- Create and enhance Slack workflows to improve team efficiency, respond to messages, assign inquiries to appropriate team members, and convert Slack queries into formal REWS tickets when needed.
**Campus Tower Tour Coordination**:
- Compile information about Sydney Tower for tours, understand and meet stakeholder needs related to tours, coordinate tour schedules with Guest Services Associates, and promote tower offerings through relevant communication channels.
**What we are looking for**:
- Experience in a related field or role
- 5+ years of Corporate Real Estate (CRE), facility management, workplace services, customer service or hospitality.
- Experience in mailroom functions
- Technical skills: Professional slide decks; document creation and management.
- Excellent interpersonal, influencing, and strategic planning skills
- Creative verbal, written, and visual storytelling and communications skills.
- Strong organizational and analytical abilities.
- Knowledge of corporate culture building and employee engagement in a tech or hospitality customer centric environment.
- Ability to work in a fast-paced environment
