As a Group Training Organisation (GTO) and Registered Training Organisation (RTO), AGA works across many industries and vocations as a specialist provider of apprenticeship and traineeship services.
AGA, proudly part of the IntoWork Group Australia, offers a complete apprenticeship service to both the apprentice or trainee and the employer, a service which allows the individual to realise their full potential and the employer to meet the dynamic and changing needs of industry.
AGA designs its training and education programs to create genuine outcomes which result in quality, ongoing employment for students. AGA employs many of these apprentices and trainees and assumes the primary duty of care as the legal employer and ensures they are supported and mentored throughout their employment.
**About the role**
The Admin Manager oversees the GTO Field Operations Support team who are primarily responsible for providing office-based support to the GTO operations. This position requires a strong working knowledge of the GTO operations and ability to prioritise work tasks and deal with a range of people.
The Field Operations Support team facilitate apprentice & trainee on-boarding, data entry, record management and ordering of personal protective equipment on behalf of Field Officers. This role may also be asked to complete general administrative or reporting tasks as required by the GTO Operations Manager or others.
The person filling this role must develop intimate knowledge of the business model, advocate on its behalf, and assist by leading the promotion of AGA as a professional organisation committed to creating a positive experience for all stakeholders. The person must demonstrate leadership over AGAs Field Operations Support team, influence its culture, maintain an adequate reporting framework and assist to establish sound and proactive operational processes and systems, which will positively impact the business objectives of AGA whilst creating a sustainable business preserving the foundations of quality in service delivery at all levels.
The Admin Manager’s responsibilities include, but are not limited to:
- Oversee all governance and compliance reporting responsibilities of the GTO, eg. Victorian Group Training Program (VGTP) funding reports, supplier panels such as Procurement Australia, Commensura, and subscriptions to Social Traders Australia;
- Proactively identify tender submission opportunities for business growth, including government project funding opportunities and coordinate preparation of proposals;
- Ensure a robust system of claiming government employer incentives is adhered to;
- Ensure an internal audit process is developed ensuring the GTO is running consistently and compliantly across all sites, to ensure compliance with GTO National Standards, as directed by the GTO Operations Manager;
- Liaise with and assist Field Officers with data entry, documentation preparation and maintenance of visit cycles by monitoring and managing Workforce One.
- Ensure field queries from apprentices, host employers and other stakeholders, are acted on in a timely and accurate manner;
**Key selection criteria**:
- Qualification and/or relevant experience in management, financial, business development, HR or industrial relations acumen.
- A high level knowledge of the VET / Apprenticeship system is desirable (highly desirable)
- Demonstrable ability to communicate with, lead and manage the performance of staff under your remit as well the aptitude to build rapport and relationships with a diverse range of stakeholders;
- Have a commitment to professional development and continuous improvement systems for yourself and your team as well as maintaining a working knowledge of all relevant legislation and regulatory standards applicable to your role in the business.
