- Department purpose
- The team is responsible for managing the end to end Working Capital of matters billed out of our Australian offices, involving but not limed to:

- Managing matters through the inception process ensuring information is accurately reflected in relevant systems
- Billing of legal matters in a timely and efficient manner
- Debt portfolio monitoring and taking appropriate steps as necessary

We influence profitability through acting as a trusted business advisor to the rest of the firm, and we work collaboratively to ensure we hit our financial metrics.

**Role and responsibilities**

**Receipting**
- Oversee the bank receipting and maintenance of trust account payments and transactions
- Ensure receipting is compliant with Trust Regulation and Firm policy
- Reconciliation of amounts receipted and investigation into any variances

**Matter Inception**
- Oversee the matter inception process
- Work with PAs to ensure matters are opened within system in a timely fashion
- Ensure client rates are setup correctly in system
- Managing the rate change process to ensure correct rates are reflected in system

**Customer Profitability**
- Responding to rates requests in a timely manager
- Working with the Business Development to respond to pitches
- Profitability and scenario modelling for partner requests
- Maintaining profitability & rate models
- Ensure Timekeeper rates are up to date and correct in system
- Managing the annual rates increase process

**Billing**
- Conduct Monthly meetings with Partners and PAs to review current WIP & Debtors ledgers
- Comprehensive follow up of action items from Partner meetings
- Administering and processing of bills in Elite 3e
- Providing analysis of financial information in support of bills
- Ensure compliance with Global Tax Regimes
- Ensuring all E-Billing requirements are met for invoices

**Collections**
- Communicate with partners to ensure they are across their outstanding debtors
- Resolve outstanding debtors with partners and clients in line with firm processes
- Liaise with external counterparts to follow up payments

**Reporting**
- Production of Working Capital Reports
- Work with partners to produce billing Forecasts
- Produce month-end working capital reports
- Production of Client Specific Reports
- Produce audit reports for Clients and internal audits when requested

**Other**
- Dealing with queries relating to billing
- Train users on how to use Elite 3E accounting systems and procedures
- Work with other functions in respect of client reporting & pricing information for matter pitches
- Assist and mentor other team members within the working capital team
