The Junior Office Administrator will provide administrative support to all the services provided by the PBT Australia by implementing administrative systems, procedures and policies.
**As the Junior Office Administrator, your responsibilities will include, but are not limited to**:
**OFFICE MANAGEMENT**
- Answering phones
- Sending and receiving mail
- Ordering office supplies / office equipment
- Manage and maintain asset registry
- Weekly and monthly timesheet reconciliation for the different teams
- Create and maintain company policies and procedures, and communicate changes to the team
- Create new blog posts and updates for the website and social media channels like LinkedIn, Twitter and Facebook
- Coordinate and review tender submissions
- ADHOC administrative tasks
**HR & RECRUITMENT**
- Initial phone screening
- Setting up interviews
- Preparing contracts
- Onboarding and offboarding of staff
**BOOKKEEPING**
- Accounts payable/receivable management
- Payroll management
- Monthly bank reconciliations
- Monthly credit card reconciliations
- Cash flow forecasts
**MEETINGS, EVENTS & TRAVEL**
- Book travel arrangements including flights, accommodation and transfers
- Booking and scheduling meetings and catering arrangements, if needed
- Organising team activities including team end of year function
**The role requires the following skills**:
- Prior experience and / or ability to carry out payroll functions including and a knowledge of payroll software (Xero preferred)
- Excellent communication skills, verbal and written is essential
- Reliability and attention to detail is a must
- Self-motivated, proactive and ability to work alone
- Excellent organizational and time management skills
- Ability to implement and adhere to current and new processes
- Effective time management to ensure high level of productivity
**The minimum requirement for the role is**:
- Certificate or Diploma or relevant work experience
