Aps 6 - Executive Assistant to The Executive

This Executive Assistant role will be part of the national team assisting the Executive Director Court Children’s Service (CCS) in ensuring the efficient and effective operation of this important social science area of the Federal Circuit and Family Court of Australia (FCFCOA). The role will work closely with the CCS Executive Officer, the CCS Directors, and the staff assisting other key Court executives including the Chief Executive Officer and Principal Registrar (CEO/PR) of the FCFCOA.
The Executive Assistant will provide high level administrative support to the Executive Director CCS, including scheduling meetings, managing calendars, preparing agendas and minutes, and tracking action items. In addition, the Executive Assistant will be responsible for a number of broader tasks such as managing a range of critical regulatory registers, overseeing a complex document framework and providing support with recruitment processes. The Executive Assistant will also be required to liaise with a range of internal and external stakeholders.
**Key Responsibilities**
- handling sensitive material and information confidentially on behalf of the Executive Director
- providing high level administrative support to the Executive Director including scheduling meetings, managing calendars and organising travel
- preparation of meeting agendas and minutes, and tracking of action items
- assisting with the formatting of documents and overseeing document storage systems
- managing a number of dynamic registers held by CCS
- providing support with CCS recruitment processes
- assisting with the preparation of data reports
**Selection Criteria**
- High-level organisational and follow-through skills, including attention to detail, excellent time
- Professional discretion, including tact and diplomacy, and an understanding of how to handle sensitive information with a high level of confidentiality and discretion.
- Strong oral and written communication and liaison skills; the ability to communicate professionally with people at all levels.
- The ability to work well in a high-paced environment, both as part of a team and individually.
- Well-developed interpersonal skills, sound judgment and the ability to develop and maintain productive working relationships with key staff and a wide range of internal and external stakeholders.
