**Key Responsibilities include**:

- Contribute to the development, implementation and maintenance of effective and confidential office management practices, procedures and standards.
- Effectively liaise with other administrative staff, project officers within Corporate Enterprise Solutions, other senior managers, executives and employees of Corporate Enterprise Solutions as well as internal and external clients to achieve deliverables for the Executive Director.
- Manage and organise all administrative aspects of the Office of the Executive Director with the direction from the Executive Director, including distribution of correspondence and briefing material,
- Provide accurate and timely preparation of meeting documentation, including distribution of meeting papers for executive meetings and when required, minute taking.
- Coordinate the flow of information including work requests for action to and from the Office of the Executive Director.
- Deal professionally with sensitive and confidential issues that arise within the Branch and form close working relationships with internal and external clients and vendors.
- Identify development opportunities and strive for continuous improvement and take opportunities to develop new or improved skills and knowledge.
- Perform administrative functions and other duties as directed by the Executive Director and Executive Office Manager.

**Key Competencies**:
You will be assessed on your ability to demonstrate the following
- Proven experience in the provision of high-level executive support services and supporting the administrative function of a senior executive or senior executive group, including the ability to effectively and flexibly set priorities, meet deadlines, work effectively under pressure and manage variable workloads.
- Experience in providing business support services such as coordinating administrative, financial and human resource activities and documentation.
- Well-developed written and verbal communication and interpersonal skills, particularly tact, discretion, sensitivity and confidentiality including the ability to communicate with influence to a wide range of internal and external stakeholders and handle sensitive situations with diplomacy and confidentiality.
- Ability to coordinate multiple tasks within agreed priorities, timeframes and accountabilities.
- Proven high level analytical and problem-solving skills with the ability to self-motivate, show initiative whilst working autonomously while also being able to demonstrate the ability to work as a team member in a client focused working environment.
