
Executive Support Officer

Key responsibilities of this role
- Manage the Executive Director's diary, including the organisation of appointments, meeting and briefing papers, accommodation, and travel arrangements.
- Assist in the provision of high level executive support and coordination of information and advice to the Executive Director to assist in the effective functioning of the Executive Director's office.
- Provide and coordinate quality control for the administration of the Executive Director's meetings, including the coordination of forward agendas and briefs/submissions and follow up actions that arise from meetings.
- Assist in the preparation of responses to Ministerial, Director-General, Deputy Director-General requests as well as other relevant correspondence for consideration by the Minister, Director-General and Deputy Directors-General.
- Provide secretariat support as required to a number of Boards and Committees.
- Manage telephone calls and direct inquiries to relevant units.
- Assist with the management of the Office of the Executive Director's budget, monitoring of expenditure, corporate card reconciliations and other administrative reports.
- Assist with the maintenance and coordination of effective administrative systems relating to the management of human resources, finance, asset and business processes, including corporate cards, travel acquittals, leave approvals, and monthly telephone accounts.
- Participate in team discussions, team planning and other relevant projects as required to achieve operational and strategic objectives of the Office of the Executive Director.
- Positively contribute to a culture of client service excellence and continuous improvement.
- All staff are responsible for identifying, managing and reporting risks relating to their work.
