**Here's what we're looking for**: - Ability to provide high level administrative support and services to a senior executive to support achievement of the organisation's objectives. Ability to maintain confidentiality, proactively analyse administrative service and system issues, identify, and successfully implement practical and creative solutions. Ability to successfully coordinate multiple activities within tight timeframes, and with competing priorities. High level communication skills, both written and verbal.
**Your responsibilities will include**: - Provide a high level of confidential executive, administrative and project support to the Chief Finance Officer. Develop, implement and maintain office and administrative systems to ensure that deadlines are met and required follow-up action is taken. This will include managing and maintaining all office equipment and associated technologies and managing financial, procurement, administrative (travel, meetings, diary, etc) and human resource issues associated with the office. Develop, implement and maintain a records management system involving systems, registers and processes as required for administration and the various projects undertaken within the office of the Chief Finance Officer. This will include managing both electronic filing systems as well as the ongoing maintenance of physical record keeping. Provide project and administrative support to various projects being conducted by office of the Chief Finance Officer. This may involve collating, researching, preparing information/reports and developing presentation material and training documentation/guides. Develop, maintain and regularly update databases and registers for the department which have resulted from the development and delivery of project initiatives. Coordinate, disseminate, monitor and respond to incoming and outgoing communication and correspondence. Coordinate and review timely responses to internal and external requests for information. Prepare and analyse regular reports including on time payment reporting, telephone account usage and charges, workplace attendance, and training and development. Coordinate staff training and development opportunities including attendance at conferences and other external training as required.
