VD TECH is a machining shop specialised in manufacturing general components of drillings rigs, oil & gas prototypes and also services for breakdowns / repairs.
The Office Manager will be responsible for overseeing and coordinating the administrative and operational functions of VDTECH Engineering Pty Ltd. This role ensures the smooth running of the office by managing budgets, supervising administrative staff, maintaining records, and supporting project and management teams with documentation and compliance requirements. The Office Manager will play a key role in streamlining office processes, facilitating communication between departments, and ensuring efficient support for the company’s engineering projects and overall business operations.
To be successful in this role you will need to meet the following criteria:
1. Oversee daily administrative operations to ensure efficient functioning of the office, including reception, correspondence, record-keeping, and office supply management.
2. Coordinate workflow and administrative processes between departments, ensuring smooth communication and timely completion of engineering project documentation.
3. Manage office budgets by monitoring expenditure, authorising purchases, and maintaining financial records in accordance with company policies.
4. Implement and maintain administrative systems including project tracking, client database management, and document control for engineering projects.
5. Supervise and support administrative staff, including training, performance monitoring, and allocation of duties.
6. Coordinate meetings, appointments, and travel arrangements for company directors, project managers, and visiting clients.
7. Ensure compliance with workplace health and safety (WHS) requirements and company policies, liaising with external suppliers and contractors where necessary.
8. Prepare reports, presentations, and business correspondence for internal and external stakeholders, including clients, contractors, and regulatory bodies.
9. Assist in recruitment and onboarding of administrative and project support staff, ensuring HR policies and procedures are followed.
10. Manage client inquiries and communications to ensure prompt and professional service delivery.
