The Role
We are seeking a dynamic and highly organised Executive Assistant to provide exceptional administrative and secretarial support to the Vice Principal and Director of Corporate Services at MLC.
This full-time, permanent position sits within our vibrant Principal’s Administration team and plays a pivotal role in supporting key operational areas of the College. The role requires discretion, initiative, excellent communication skills, and the ability to manage multiple priorities while fostering strong relationships across the College community.
Key Responsibilities Administrative Support
- Provide proactive, professional administrative support to the Vice Principal and Director of Corporate Services
- Manage diaries, schedule meetings, prepare agendas, draft communications, and maintain document records
- Act as first point of contact for staff and stakeholders, managing enquiries and correspondence
- Coordinate travel, events, meetings, and seminar bookings
- Support direct reports across both portfolios with administrative and operational needs
Project & Contract Administration
- Maintain key third-party compliance registrations and contract documentation
- Assist in policy and procedure support, including liaison with the Compliance Manager
- Monitor operational requirements across College service providers such as catering, bookshop, uniform shop, and print services
- Assist with managing outsourced contract invoices and documentation
Major Projects & Additional Support
- Support coordination and administration for strategic projects (e.g., Sports Precinct redevelopment)
- Administer hiring of College facilities (excluding music and sport centre bookings)
- Provide day-to-day assistance on College matters, including emergency management, government compliance, and contract registers
About You

Essential:
- Outstanding interpersonal and communication skills
- Advanced Microsoft Office 365 skills (Word, Excel, Outlook, Teams, SharePoint, PowerPoint, Forms)
- Strong planning, task ownership, and organisational abilities
- Demonstrated experience drafting professional correspondence
- Ability to work autonomously with initiative and reliability
- High attention to detail and proven ability to meet deadlines
- Current Working with Children Check and Police Check
- A strong commitment to child safety and ethical professional conduct
Desirable:
- Previous experience supporting multiple senior leaders simultaneously
- Experience working in an educational or school setting
- Secretarial/administrative qualifications
