Seeking an experienced Executive Assistant to provide support to the University Secretary and Chancellor
**Your new company**
This temporary assignment is based in the University Secretary’s Office of one of Perth’s major Universities, south of the river. The role of the University Secretary’s Office is to promote and support good governance and decision-making across the University and support statutory, regulatory and legislative compliance obligations. It does this through provision of a range of services that uphold the governance principles of transparency, integrity, stewardship and institutional accountability.
**Your new role**
This position will be responsible for providing high level confidential, efficient, and executive support and secretariat services and undertaking projects relating to the University Secretary’s area.
The position is accountable for identifying solutions, utilising strong business acumen and expertise to drive effective administrative support processes across the team and contribute to assuring effective secretariat services across the University. This is a critical role providing executive support to the University Secretary and Chancellor, as well as secretariat support services to governance committees as required.
You will undertake and manage activities in relation to the general operations of the Office including high-level administrative support including;
- Electronic diary management
- Maintaining the electronic filing system
- Undertake “gatekeeper” duties including filtering and screening visitors
- Act as an initial point of contact and communicate with Board members, external stakeholders, and colleagues
**What you'll need to succeed**
- A strong communicator, with proven experience of building excellent working relationships, both internally and externally.
- Well organised, with a high level of attention to detail and follow through to monitor and resolve outstanding issues.
- Effective in time management and workload prioritisation.
- Effective problem solving and decision-making skills
- Professional and discrete.
- Excellent written communication skills, including the ability to take accurate minutes of meetings and draft reports.
- Able to pursue, adapt, and lead change, and demonstrate flexibility in response to changing business environments.
**What you'll get in return**
This is a temporary assignment covering a period of extended leave. It offers a very attractive hourly rate. Full time but flexible hours. Training in the form of a handover provided.
