Purpose of Role: As the Administration Assistant, you will provide vital administrative support to ensure smooth day-to-day operations. Responsibilities include general office duties such as typing, filing, data entry, answering phones, coordinating travel and meetings, managing communications, and acting as the office champion to foster a positive and efficient workplace environment.
This is a part-time, job-share position based in our Brisbane office, working Thursdays and Fridays. Flexibility to provide additional coverage during staff leave or peak periods is highly valued and appreciated.
Key Responsibilities:
- Provide high-level administrative support to ensure the smooth operation of the office, including preparing reports, managing correspondence, and maintaining a professional environment.- Coordinate meetings, events, and conference calls, including scheduling, logistics, and catering, while also supporting off-site meeting planning and venue arrangements.- Manage domestic and international travel bookings for Australian-based employees, ensuring efficient and cost-effective arrangements.- Act as the Brisbane office champion by overseeing daily operations, maintaining office supplies, greeting visitors, and ensuring a clean and welcoming workspace.- Build strong working relationships across departments, respond to issues with practical solutions, and support the implementation of administrative policies and procedures.- Safety First: Demonstrate 100% commitment to our zero harm behaviors in support of our drive towards developing a world class safety culture.
Job Knowledge/Education and Qualifications:
- Previous experience in a receptionist or administration role desirable- Well-developed verbal and communication skills- Experience using Microsoft Office suite programs- Knowledge of Power BI and Salesforce CRM - highly desirable- Ability to organise task and work autonomously- Hold a valid drivers license
