**_Purpose of Role_**
To provide administrative support to the Contract Resources Site Team and undertake related system administrative duties supporting the operational and commercial activities of the business and the specific projects being undertaken.

**_Duties and responsibilities:_**
- Data entry - setting up projects in JMS as required and ensuring that these projects are setup according to contract conditions and in line with the CR Project Management procedure.
- Liaise with Business Support Coordinators to ensure that invoicing requirements are clearly identified and work in progress processes are clear to assist with optimal cash collection and accurate end of month position.
- Input of daily timesheets within required timing for labour, equipment, and 3rd party costs to provide key information for site managers.
- Ensure that the time sheets are in line with gate reports.
- Identify recurring non-recoverable costs and report to site manager.
- Project processing via SAP system
- Provide information for client requirements by specified time and input to client systems as required (e.g. SAP)
- Provide timesheet reports to site managers & supervisors prior to payroll deadline to ensure payroll accuracy.
- Work with Payroll team to ensure wage compliance and minimise back-pay or incorrect payments of wages.
- Complete and adhere to invoicing procedures for CR and other clients.
- Work with accounts payable to ensure 3rd party invoices are processed in the required time to assist with the maximum recovery of costs.
- Create purchase orders.
- Update purchase order status for all purchase orders associated with project to ensure accounting accuracy.
- Monitor and ensure accuracy of general ledger transaction listings and job profit and loss as part of end of month processes. Work with project managers to identify discrepancies.
- Monthly work in progress reconciliation
- Comply and ensure project compliance with end of month timetable.
- Work with Finance Team, Business Support Coordinators and Accounts Receivable to drive cash collection compliance in line with contract conditions.
- Run appropriate JMS reports to allow clear understanding of projects at any time in the process.
- Assist managers with budget vs actual reporting for projects, actively tracking costs and reporting to management.
- Track rostered days off, leave requests etc.
- Meet critical deadlines with specific cut off dates.
- General filing and processing of paperwork
- Maintain stationary levels.

**_To be considered for this role you will possess the following skills, experience and attributes:_**
- Minimum 2 years’ experience working within an office/administrative environment.
- Experience working in the Construction/Mining/Oil & Gas industry is not essential.
- Experience liaising with internal and external customers
- Experience of office / administration processes with the ability to learn and improve procedures.
- Ability to work with strict deadlines and timeframes
