**The Job**
Your can-do attitude, communication, planning and organisation skills, ability to prioritise workloads and navigate conflicting requirements will enable you to effectively manage and deliver results. This role will allow you to work autonomously to manage a range of internal and external stakeholders and to work closely with the Senior Executive staff in ABARES and the diverse, fun and creative crew in the Impact & Engagement Program. ABARES is a unique organisation comprised of innovative and passionate teams and offers the opportunity to work in a collaborative, relaxed and inclusive working environment. In this role, you will be providing support such as:
- Providing high level administrative assistance for the Executive Director (First Assistant Secretary) including day-to-day operations such as diary management, phone calls, workflow tracking, meeting coordination and secretariat support.
- Developing and maintaining professional relationships at all levels across the department, the Minister’s Office, other senior government officials and external organisations.
- Maintaining a high level of confidentiality and professionalism including the appropriate management of confidential and sensitive information and recordkeeping.
- Co-ordinating domestic and international travel including reconciliation and maintenance of travel and credit card accounts for the Executive Director, and other Senior Executive (if required).
- Assisting with the coordination of parliamentary and governance business for the Division including weekly reporting, QoNs, QTBs, Senate Estimates and FOI requests.
- Assisting with a broad range of corporate and administrative support functions across the division as required including the procurement of office stationery.
**What we are looking for**
**Knowledge and experience**
- Previous experience as an Executive Assistant in a professional environment is essential.
- Previous experience as an Executive Assistant to SES Band 2 or Band 1 within the public sector would be an advantage.
- Knowledge and experience with various departmental systems and processes including Concur, QBT, Records Manager, eRecruit, would be an advantage.
- Proficiency in MS Teams an advantage.
**Skills and capabilities**
We are looking for a proactive, responsive and resourceful individual with a can-do attitude to support ABARES Executive Director. The successful applicant will have experience in providing high level administrative and executive support and be able to demonstrate:
- Strong interpersonal, influencing and relationship building skills.
- Ability to act autonomously, proactively and maintain confidentiality at all times.
- Strong communication skills including attention to detail and the ability to assess information using good judgement.
- Ability to effectively manage multiple priorities and time frames simultaneously and to respond positively to changes in business requirements.
- A good fit with our culture and the ability to reinforce and lead it across the organisation.
- Well-developed skills in the use of Microsoft Office, including MS Teams.
**Eligibility**
**Citizenship** - To be eligible for employment with the Department of Agriculture, Fisheries and Forestry you must be an Australian citizen.
**Security Clearance** - This position requires a Negative Vetting Level 1 security clearance. You will be required to obtain and maintain a clearance at this level.
**Pre-employment Check** - Your suitability for employment will be assessed through a pre-employment screening process. This process includes a requirement to undergo and satisfy a National Police Check, referee checks, character clearance and where required a pre-employment medical assessment, specified mandatory qualification(s) validation and a probation period of 6 months.
