**Job purpose**:
VenuesLive WA, proud operator of Optus Stadium, is on the lookout for a highly organised and administratively skilled Workforce Planning Coordinator to play a key role in supporting the successful delivery of Optus Stadium’s Staffing Operations program. This position is responsible for overseeing the Company’s internal casual workforce, ensuring all staffing requirements are effectively planned and executed in alignment with business activities. As a core member of the Staffing Operations Team, the Workforce Planning Coordinator supports the full employee lifecycle—from recruitment and onboarding through to rostering and offboarding—delivering smooth and effective workforce management for events and functions across the stadium.
**Your focus will be**:
- Collaborate with Event Owners to assist in the development and documentation of workforce deployment plans that align coverage, cost control, and operational capability
- Administer and oversee recruitment, onboarding and ongoing engagement of our casual workforce
- Prepare and publish compliant rosters in Humanforce, ensuring schedules meet staffing requirements and align with regulatory standards
- Prepare event day documentation including briefing sheets, accreditation and meal & parking requirements for staff
- Provide logístical support during event operations, managing staff movements, welfare monitoring, and implementing last-minute roster adjustments
- Serve as the primary administrative contact for a casual workforce of 3,000+, handling day-to-day queries, wellbeing initiatives, and staff communications
- Manage performance issues with empathy and structure, including investigations and development plans
- Partner with People & Culture, Safety and Operations teams on workers’ compensation and return-to-work cases
- Produce internal communications such as social media updates, birthday notices, and team celebration content to enhance staff engagement
**To be successful, you will have**:
- Full and unrestricted working rights in Australia
- 1-2 years' experience in rostering, staffing, or workforce coordination
- Excellent administrative skills, with the ability to manage high volumes of documentation, data entry, and scheduling tasks with accuracy and efficiency
- Strong attention to detail with a proactive approach to identifying and resolving scheduling or operational issues
- Exceptional communication skills - written, verbal, and interpersonal
- Experience using Humanforce (or a similar workforce management system)_ (preferred)_
- Professional and confident approach to managing sensitive staff-related discussions
- A passion for events, people, and creating a positive team culture
- Initiative-driven mindset with a readiness to propose and implement process improvements
