- managed individual who can handle a range of responsibilities with precision and independence.
**The Role**
Based at our Dandenong Head Office, the Fleet Administrator is responsible for the delivery of administrative assistance to the fleet department, employees and departments across the Ventura Group.
The Fleet Coordinator position in integral in keeping our vehicle on the road This is a fast-paced role that requires independence, initiative and a strong drive for operational excellence.
As a part of this role you will be required to:
- Manage and maintain vehicle accounts such as annual registrations, fuel cards, tolls and insurance
- Liaising with Vic Roads to ensure our fleet is compliant with registration requirements
- Maintain and update monthly reporting for Department of Transport & Planning (DTP)
- Record and manage data using the company maintenance system (TIMS)
- Setting up of new vehicles and expiring vehicles at the end their life cycle - commissioning and decommissioning vehicles out of contract
- Extracting data from our maintenance system and formatting the data into reporting context
- Provide weekly and monthly reporting to the General Manager of Fleet Maintenance and government departments
- Taking minutes for Fleet and Maintenance meetings
- Working closely with internal and external stakeholders and service providers to ensure our fleet is properly managed, maintained and compliant
- Upkeep of fleet filing system including vehicle files, supplier files and contract information
- Provide a high level of customer service and support other departments within Ventura
**About You**
You are proactive and driven with a “next level” attention to detail The person most suited to this role will have:
- Extensive experience in administrative or coordination roles, ideally within transportation, vehicle, logistics or related industries
- Advanced Microsoft Office Suite including Word and PowerPoint
- Advanced skills in Excel including Vlookups, pivot tables and the ability to format data for reporting.
- Strong focus on accuracy and ability to manage multiple tasks
- Professional communication style with excellent customer service skills
- Excellent time management skills, including capacity to prioritise workloads
- The ability to work in a fast paced and dynamic workplace
- Strong problem solving skills with the ability to implement new processes where fit
