Scheduling Manager and Coordinator

We are looking for a dynamic and experienced individual to manage our business operations and lead our team and deliver exceptional service to our clients. In this role, you'll drive the day-to-day client engagement through the successful leadership and direction of the Pool & Spa Technicians. You will be passionate about the pool industry and an expert in your field. Strong internal and external stakeholder engagement is imperative for the success of this role.
As our Scheduling Manager, here’s what you’ll achieve:
- Schedule & organize jobs, manage schedules, and coordinate business operations. You’ll create schedule timelines, assign duties, and manage swimming pool technicians daily & weekly job schedules.
- Coordinate the repair of client equipment promptly and within the service standards
- Offer comprehensive operational support to technicians in the field, ensuring they have the resources, eqipment and assistance needed to meet their daily tasks and succeed
- Coordinate the service team, providing continuous support and guidance
- In conjunction with the Service Manager, coordinate mobile teams' training requirements
- Identify system, process and workflow opportunities and implement changes to minimise the percentage of service tasks not completed
- Demonstrate a high level of client focus and deal with issues promptly, finding a client-led solution
- Maintain a solid working knowledge of industry regulations and legislation, ensuring the company’s policies are adhered to
- Work closely with clients to determine their requirements, provide estimates, and assist with scheduling jobs
- Ensure consistent client satisfaction through appropriate checks, resulting in repeat business and referrals & client confidence
- Communicate with customers professionally and courteously to address any queries
- Procure equipment and chemicals required for technician use, ensuring timely availability
- Cultivate and manage relationships with suppliers to ensure smooth operations
- Coordinate with team members and customers to communicate changes effectively
And finally, together with the whole team, you’ll help create backyard memories for local families and commercial partners through sparkling, clean, and chemically safe swimming pools
**What You’ll Be**
**- Skills Required -** Excellent communication, proficiency in scheduling & accounting software, attention to detail, and multitasking abilities
- **You’ll need** - A current unrestricted driver’s licence and to consent to a police clearance check if you don’t have one already
- **Customer-focused** - and meticulous to meet the needs of our clients and team members & communicate well with our service technicians
- **Self-motivated**:
- you possess and display a can-do attitude every time, you’ll love working autonomously and take pride in managing your own client base
- **Exceptional verbal and written communication skills** - with the ability and desire to service clients to a very high standard - the client comes first
- **Able to work unsupervised** - you thrive under pressure and manage competing priorities well
- **Keen to keep learning and growing** - you don’t know it all yet and are not afraid to admit it
- **Punctual, reliable, courteous and trustworthy** - the non-negotiables come naturally to you - you’re the same person at home as you are at work
This is a senior role in our company - it sits firmly at the crossroads of the team, the client and the business. The role is best suited for someone who
- currently works in a similar service position within the pool industry and is looking to step up, be challenged and make a difference
- works in the field as a Pool and Spa Technician with significant residential and commercial experience and is looking to come off the road and add value via the back office
- works with a pool manufacturer/distributor and can bring their extensive knowledge and expertise to the team and client base
Most importantly, this role needs someone who loves helping people
Pay: $70,000.00 - $75,000.00 per year
Schedule:
- 8 hour shift
- No weekends
Ability to commute/relocate:
- Camberwell VIC 3124: Reliably commute or planning to relocate before starting work (preferred)
**Experience**:
- Pool/Operations: 1 year (preferred)
