**Position Description Project Support Officer**
December 2024**
**Purpose**
The purpose of the Project Support Officer role is to provide project support and high level
administrative assistance across the City Activation department. The position requires the
officer to work under general direction and exercise a degree of autonomy and judgement
within prescribed areas with assistance available when required. This requires extensive
project support across a large number of varied projects in a number of departments. The
administrative role associated with the position includes assisting with meeting corporate
and department reporting requirements and carrying out a variety of project administrative
functions.
**Key Deliverables**:
- Working with the City Activation department to develop a plan and implement priority
- actions.
- Recognise cross project and departmental opportunities to enhance project
- outcomes.
- Coordinating departmental responses and assist with pursuing Marion’s preferred
- outcome in relation to Projects.
- Developing project documentation and providing administrative support for City
- Activation.
- Supporting the delivery of business engagement activities including updating website
- and social media for Economic Development.
- Supporting the delivery of Business Engagement events for Economic Development.
- Managing the receipt of invoices and ensuring their prompt processing.
- Assist City Activation in the timely preparation of corporate reports which include
- work area plans, quarterly WHS reports and monthly corporate progress reports.
- Organise travel and accommodation for team members attending functions,
- conferences and events.
- Prepare, collate and distribute meeting agendas, minutes and reports as required.
- Plan and organise their own work and monitor workflows.
- Significant role in establishing departmental procedures.
- Thorough knowledge of computer operations and programs and business champion
for introduction of new technology systems used by the departments.
**Person Specification**
- Essential criteria
- Advanced communication skills both written and verbal.
- Relating to Project Management, Administration or equivalent experience.
- Well-developed administrative and communication skills both written and verbal.
- Ability and commitment to work positively in a team environment.
- Self-directed and ability to use initiative, sustain high level performance, problem
- solve and with the ability to prioritise meet demanding work deadlines.
- Flexibility in meeting changing priorities.
- Team work focused.
- Preparedness to provide support to others both within the outside the teams.
- Ability to accurately compile and record agendas and minutes.
- High level computer skills and knowledge of Microsoft Office programs including
experience in management of databases and production of presentations.
